Ottawa Prime Properties is a growing property management company managing residential and commercial properties across Ontario and Quebec. We are looking for a reliable, organized, and experienced Part-Time Property Manager with leasing experience to assist with property operations, tenant communication, leasing, showings, inspections, maintenance coordination, and owner updates.
This role is ideal for someone who has hands-on property management and leasing experience, is comfortable working independently, and can travel between properties for showings, inspections, move-ins, move-outs, and contractor follow-ups.
Position Overview
The Part-Time Property Manager will support the daily operations of managed properties in Ottawa, Gatineau, and surrounding areas. The ideal candidate must have experience in property management and leasing, including showing units, communicating with prospects, following up with leads, collecting rental applications, supporting tenant screening, coordinating lease signing, and helping secure qualified tenants.
Experience with Ontario and Quebec rental properties is strongly preferred. Knowledge of Ontario Landlord and Tenant Board forms/processes and Quebec Tribunal administratif du logement lease and notice requirements is a strong asset. Ontario’s LTB provides official landlord notices and forms, and Quebec requires the TAL lease form for new residential leases.
Key Responsibilities
The Part-Time Property Manager will be responsible for:
Managing tenant and prospect communication professionally by phone, email, text, and in person.
Conducting rental showings, open houses, and property tours.
Following up with rental leads and providing timely information to prospective tenants.
Assisting with rental applications, tenant screening, document collection, and lease preparation.
Coordinating lease signing, deposit collection follow-ups, tenant onboarding, key handover, and move-in instructions.
Supporting marketing efforts by providing property photos, unit details, availability updates, pricing feedback, and leasing updates.
Visiting properties for inspections, move-ins, move-outs, maintenance follow-ups, and contractor coordination.
Meeting tenants, owners, contractors, inspectors, utility representatives, and service providers when required.
Coordinating maintenance requests, following up with contractors, confirming work completion, and updating tenants and management.
Taking clear photos and detailed notes during inspections, showings, maintenance visits, and move-in/move-out appointments.
Following up on rent payments, late payments, arrears, and tenant payment arrangements when required.
Preparing and delivering tenant notices, letters, rent reminders, inspection notices, and other property-related documents.
Supporting Ontario and Quebec property management files, including LTB/TAL-related documentation and timelines. Ontario tenants must receive written notice using the proper LTB form for eviction-related matters, and Quebec has official TAL forms and notices used for rental housing matters.
Completing regular property walkthroughs to check cleanliness, garbage issues, maintenance concerns, safety concerns, and tenant compliance.
Reporting property issues to management with clear notes, photos, and recommended next steps.
Coordinating with cleaners, maintenance workers, plumbers, electricians, HVAC technicians, locksmiths, landscapers, snow removal companies, and other vendors.
Helping manage tenant complaints, noise issues, access requests, repairs, inspections, and lease-related concerns.
Updating property management software with notes, photos, documents, tenant communication, leasing activity, work orders, and inspection updates.
Ensuring all tenant, prospect, owner, and contractor communication is properly documented.
Required Qualifications
Previous property management experience is required.
Previous leasing experience is required.
Must have access to a reliable car and be able to travel to properties in Ottawa, Gatineau, and surrounding areas.
Valid driver’s licence required.
Strong communication and follow-up skills.
Experience conducting showings, open houses, leasing calls, and prospect follow-ups.
Ability to professionally communicate with tenants, prospects, owners, contractors, and team members.
Experience with rental applications, tenant screening support, lease coordination, and move-in procedures.
Experience with residential properties in Ontario and Quebec is strongly preferred.
Knowledge of Ontario LTB and Quebec TAL processes is an asset.
Strong understanding of tenant communication, maintenance coordination, inspections, leasing, rent collection, and move-in/move-out procedures.
Ability to work independently and manage multiple priorities.
Strong attention to detail and ability to document everything properly.
Comfortable taking clear photos, writing inspection notes, and providing detailed updates.
French is a strong asset, especially for Quebec properties.
Experience with Buildium, AppFolio, DoorLoop, Yardi, Google Drive, Gmail, Google Sheets, Microsoft Office, and DocuSign is an asset.

The ideal candidate is reliable, proactive, organized, and comfortable being on the road. They should have strong leasing skills, know how to speak with prospective tenants, follow up with leads, handle showings professionally, and help move qualified applicants through the rental process.
This person should also understand that property management requires fast communication, strong follow-up, proper documentation, and a professional attitude with tenants, owners, contractors, and prospects. They must be comfortable visiting properties, handling tenant concerns, coordinating contractors, inspecting units, and reporting issues clearly to management.
Work Schedule
Part-time position.
Flexible schedule based on property and leasing needs.
Must be available for property visits, showings, inspections, tenant meetings, contractor coordination, and urgent matters when required.
Some evening or weekend availability may be required for showings, open houses, move-ins, emergencies, or tenant-related matters.
Compensation
Compensation will be based on experience, availability, and responsibilities.
Mileage or travel-related compensation can be discussed.
