About VAM:
Founded in 1969, the Vancouver Academy of Music (VAM) is a non-profit institution that has been spreading a love of learning and musical excellence for generations of aspiring musicians. Minutes away from downtown, VAM is housed in a spacious facility with teaching studios, large classrooms, two performance halls, and the inspiring scenic backdrop of Vanier Park.
In addition to private lessons and class instruction, VAM students have the opportunity to engage with world-renowned visiting artists in masterclasses, exchange with national and international partners, and participate in numerous performance and competition opportunities. Position Overview:
Reporting to the Senior Director of Development, the Development Coordinator plays a vital role in advancing VAM's mission by managing donor data, coordinating stewardship communications, and supporting fundraising initiatives that drive VAM's financial sustainability and community impact. This role serves as VAM's DonorPerfect database administrator and works closely with the Senior Director of Development to ensure accurate donor records, timely donor recognition, and the smooth execution of fundraising programs including monthly giving, tribute giving, grants, direct mail and digital campaigns. This is a full-time, in-person role with a schedule of Monday-Friday, 10am-6pm.
Responsibilities:
Donation Processing and Database Management
-Act as VAM’s DonorPerfect database administrator entering and maintaining detailed records of all donations, pledges, donor contact information, donor interactions, donor attributes, recognition and communication preferences.
-Generate charitable tax receipts and/or business while adhering to CRA guidelines.
-Perform database maintenance, to ensure data hygiene and duplicate management.
-Produce reports, donor lists, or other data generated from the database
-Create online donation templates & process online donations
-Provide support with monthly financial reconciliations and annual audit
Donor Stewardship & Communications
-Perform stewardship tasks, including welcome and thank you letters, emails and calls, and personalized invites as needed
-Provide timely distribution of donor acknowledgements and thank-you communications
-Receive and respond to donor inquiries by phone and email in a professional and friendly manner
-Ensure gift recognition and stewardship policies and procedures are followed
-Provide research and support with individual and corporate donor prospecting
-Develop and maintain relationships with donors, individuals, businesses, and other organizations in the community
-Facilitate donor surveys and distribution of donor impact reports to donors
-Draft content and narrative reports for donors or funders
-Create graphic design content where required
-Develop and maintain relationships with donors and stakeholders
Fundraising Support
-Lead the monthly giving program and tribute giving program
-Research grant opportunities and maintain a grant pipeline
-Assist with grant writing and applications as needed
-Provide support with digital fundraising
-Execute the delivery of direct mail appeal letters & email campaigns
-Support the administration of the planned giving program
-Assist with any fundraising events that may arise
-Provide support to the Senior Director of Development as required
-Any other duties as assigned
Qualifications
-1-2 years of experience in a fundraising, development, or donor relations role, ideally within a nonprofit or arts/cultural organization
-Experience with donor management databases; comfort learning and maintaining data hygiene standards within a CRM system
-Familiarity with CRA guidelines for charitable tax receipting, or willingness to learn
-Excellent written communication skills, with the ability to draft donor correspondence, stewardship materials, and narrative reports in a warm, professional tone
-Strong attention to detail and accuracy
-Demonstrated ability to build and maintain relationships with donors, community members, and organizational partners
-Experience with or interest in grant research and writing
-Graphic design skills (e.g., Canva) an asset
-Highly organized, with the ability to manage multiple ongoing tasks and deadlines simultaneously
-A collaborative, service-oriented approach, with a genuine interest in supporting VAM's mission and community impact
-Passion for or connection to music education and the arts considered an asset
-Mandarin/Cantonese speaking an asset
Pay: $47,000.00-$53,000.00 per year
