Bobcat of Vancouver Equipment Ltd. based in Port Kells/ Surrey British Columbia is seeking to hire a F/T Business & Service Administrator . The successful applicant will work directly with Service Manager, Sales, Parts, and Service Technicians under the supervision of the Bobcat General Manager.
Job Description:
- Receive service requests by phone/email and record all information in an accurate manner
- Schedule field service technicians (coordinate with customers, technicians and other vendors to ensure all repairs are complete on schedule and within budget)
- Deliver/maintain response times and provide timely updates to customers on repair status
- Create and process service orders and timecards daily
- Create, process and manage warranty claims
- Assist with setup, procurement and maintenance of Bobcat service contracts
- Assist with service estimates
- Resolve customer complaints, within established guidelines, to the satisfaction of the customer and in the best interest of the Company
- Provide general service department administrative assistance as required
- Maintain information in the customer database
- Harvest service opportunities through Machine IQ (Telematics) for critical code response, or proactive service communications with clients
- Ensure all active field mods are handled within a reasonable timeframe.
- Ensure accurate inventory control between service and sales departments upon internal requests
- Warranty submission & coordination with manufacturers
- Marketing & branding tasks
- Manage company website and social media accounts
- Manage Co-op program with manufacturers
- Support inside sales activity & new product inventory control as necessary
- Administrate business related tasks as assigned by the General Manager
Requirements:
- Strong customer service background with ability to handle high stress situations
- Detail oriented with the ability to stay on task in a busy environment
- Experience with Microsoft Office software
- Excellent organizational & interpersonal skills
- Effective oral and written communication
- Mechanical aptitude would be considered an asset
- Previous Bobcat and/or field service department experience would be considered an asset
- Previous experience with ERP programs similar to Procede would be considered an asset
- Applicant will be expected to work all shifts as requested
- Willing to take basic First-Aid training
