ADMINISTRATIVE ASSISTANT (1 YEAR TERM)
Emergent BioSolutions is currently seeking an Administrative Assistant for a one (1) year term to support the VP of Research & Development and Sr Director, Marketing. The successful candidate will possess an associate’s degree in business or a related field and have a minimum of 2-4 years of executive level administrative experience OR have transferable skill set with keen attention to detail that can be outlined in your cover letter. This would also be a great opportunity for candidates with a background in science who are looking to gain exposure to drug development, R&D strategy and marketing. This is a fast pace and rapidly changing environment, so this role requires a candiate who is resilient, proactive, flexible and finds tackling challenges fun!
The ideal candidate will have experience with the Windows Platform, OneNote, electronic file management, the Microsoft Office Suite, SharePoint, Adobe and the Internet. In addition, this individual will possess a strong work ethic and a commitment to excellence and innovation.
The Administrative Assistant is responsible for performing general support tasks which may be highly confidential. The role will support both the VP, R&D and the Sr. Director, Marketing.
Assists the Executive Administrative Assistant with general administration tasks, including, but not limited to: meeting coordination, travel arrangements, expense reports, credit card reconciliation, food orders, and boardroom bookings.
May answers phone line and directs calls.
May filter incoming and outgoing mail and email for VP, R&D, including booking FedEx couriers as needed.
Maintains electronic filing system.
Assists with updating of TxBU page, & Site SLT pages on Sharepoint.
Develops, edits and formats presentations and written documents using PowerPoint, Word, Adobe and other softwares
Organizes materials and meeting notes using OneNote on behalf of VP, R&D
Schedule Management & Travel
Coordinates travel arrangements as required.
Prepares expense reports as required.
Meeting and Event Coordination
Assist will event and meeting coordination.
Manages food orders for meetings.
Prepares and ensures meeting spaces are ready for use.
Manages boardroom bookings for the facility, source and coordinate external meeting space as required.
Prepares meeting materials and ensures VP, R&D is prepped for meetings.
EDUCATION, EXPERIENCE & SKILLS:
Education: Associates degree in business or related field required. Combination of relevant education and experience may be considered in lieu of a degree. This would also be a great opportunity for a candidate with a scientific background looking to gain exposure to drug development, marketing and other R&D functions.
Experience: Ideal candidate will have 2-4 years of executive admin experience or proven transferable skills that are clearly outlined in your cover letter.
Skills: Computer skills in Windows Platform, electronic file management, OneNote, Adobe, Microsoft Word, Excel, Power Point, Publisher, Outlook, Visio, MS Project, SharePoint and the Internet.
Citizenship/Permanent Resident or Valid Work Permit.
Successful Completion of a Criminal Record Check.
