Are you an organized, analytical leader who enjoys turning data into action and helping teams perform at their best?
We’re looking for an Operations Team Lead to support day-to-day operations, team performance, process improvement, reporting, scheduling, billing, and AlayaCare system optimization. You’ll work closely with Coordinators, Client Services, HR, IT, the Business Analyst, and the Operational Performance Manager to improve efficiency, consistency, and service delivery.
What You’ll Do
- Monitor team performance, productivity, KPIs, and operational standards.
- Provide day-to-day direction, coaching, and support to Coordinators, including After-Hours support as required.
- Lead weekly team huddles and support onboarding, training, and ongoing development.
- Identify workflow challenges and implement improvements to increase efficiency and consistency.
- Support scheduling operations, complex escalations, Coordinator coverage, and on-call requirements as needed.
- Monitor overtime trends and identify opportunities to improve scheduling efficiency.
- Support billing rejection resolution and operational compliance.
- Serve as a key operational resource for AlayaCare, including testing, troubleshooting, training, and implementation of system enhancements.
- Create and maintain Power BI dashboards and operational reports, monitoring KPIs, productivity, trends, service levels, and data accuracy.
- Support quarterly and annual reporting through data collection, validation, reconciliation, and analysis.
- Identify operational trends, data discrepancies, and opportunities for improvement, providing recommendations to the Operational Performance Manager.
What You Bring
- 3–5 years of experience in healthcare operations, client services, business operations, or a related environment.
- 1–2 years of experience in team leadership, coaching, or operational oversight.
- Post-secondary education in Business Administration, Healthcare Administration, or a related field is preferred. Equivalent education and experience may be considered.
- Experience with KPIs, operational reporting, data analysis, and performance monitoring.
- Strong Microsoft Excel skills and working knowledge of Power BI.
- Experience with AlayaCare or another healthcare scheduling/information system is strongly preferred.
- Experience with quarterly, annual, compliance, or regulatory reporting is an asset.
- Strong analytical, organizational, communication, and problem-solving skills.
- Excellent attention to detail and ability to manage multiple priorities and deadlines.
- Ability to maintain confidentiality and appropriately handle sensitive information.
