Position Summary
The Billing Specialist / Accounting Assistant supports the Finance department by performing day-to-day accounting and administrative functions to ensure accurate financial records and efficient operations.
This role is primarily responsible for managing accounts receivable related to Charter Sales activities, while also providing broader accounting support including reconciliations, reporting, and month-end processes.
The ideal candidate is detail-oriented, highly organized, and comfortable working in a fast-paced aviation environment with a high volume of transactions and multiple operational stakeholders.
Key Responsibilities
Accounts Receivable
- Prepare and issue charter, sub-charter, post-flight, and recurring expense invoices in QuickBooks based on flight activity and contractual agreements
- Maintain accurate sales records aligned with flight/trip activity and perform monthly sales reconciliations with the accounting team
- Collaborate with Charter Sales and Operations teams to validate flight details and ensure billing accuracy
- Investigate and resolve billing discrepancies while maintaining accurate customer account records
- Calculate, reconcile, and track commissions for sales representatives and agents in accordance with contractual agreements and billing cycles
Financial Administration & Reporting
- Assist with monthly account reconciliations (including sales, intercompany, and other balance sheet accounts)
- Support job costing activities related to charter operations
- Contribute to month-end close processes and maintain well-organized financial documentation
- Prepare supporting schedules, analysis, and reports for internal stakeholders and management
- Ensure compliance with internal controls, company policies, and financial procedures
- Provide support for financial reporting and ad hoc accounting tasks as required
Qualifications
- Bachelor’s degree in accounting, Finance, or Business Administration
- Minimum of 5 years of accounting or bookkeeping experience, preferably in aviation, transportation, or service-based industries
- Strong experience in accounts receivable, account reconciliations, and general accounting support, including financial record management
- Proficiency with accounting or ERP systems (e.g., NetSuite, QuickBooks, or similar)
- Strong attention to detail with the ability to manage multiple priorities in a deadline-driven environment
- Excellent communication and organizational skills
Preferred Experience
- Experience with aviation or charter billing, including operational costs (fuel, maintenance, parts)
- Familiarity with corporate credit card and expense management platforms (e.g., AMEX)
- Understanding of GST/HST and applicable sales tax treatment for aviation services
