Job Overview
We are seeking a highly organized and professional Medical Spa Coordinator to join our team. The ideal candidate will serve as the primary point of contact for clients, manage appointment scheduling, and ensure smooth daily operations within our medical spa. This role requires excellent communication skills, familiarity with medical and dental office procedures, and proficiency in electronic medical records systems. The Medical Spa Coordinator plays a vital role in delivering exceptional customer service while supporting the clinical team to provide outstanding aesthetic treatments and services.
Duties
- Greet clients warmly and manage front desk operations, including multi-line phone systems and appointment scheduling using Dentrix or similar software
- Maintain accurate electronic medical records (EMRs) and ensure all client information is up-to-date and compliant with privacy regulations
- Assist with patient check-in and check-out processes, including verifying insurance information and processing payments
- Coordinate treatment schedules between clients and practitioners, ensuring efficient flow of daily appointments
- Manage administrative tasks such as answering inquiries, confirming appointments, and handling client correspondence
- Support clinical staff by preparing treatment rooms, sterilizing equipment, and ensuring supplies are stocked
- Maintain a clean, organized reception area that reflects the professional standards of the spa
- Collaborate with team members to improve office workflows and enhance client experience
Skills
- Proficiency with Milano is a plus
- Strong knowledge of medical terminology relevant to aesthetic procedures and treatments
- Experience with Dentrix or other dental/medical office management software preferred
- Previous experience as a dental receptionist or in a medical/dental office setting highly desirable
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Exceptional communication skills for front desk interactions and multi-line phone systems management
- Administrative experience in office settings, demonstrating professionalism and attention to detail
- Ability to handle sensitive information discreetly while providing outstanding customer service
