Project Coordinator (Construction)
About the Role
We are seeking a highly organized and detail-oriented Project Coordinator to support large-scale commercial construction projects. This role is critical in managing project documentation, CCDC contracts, and ensuring all administrative workflows run smoothly throughout the project lifecycle.
You will work closely with Project Managers, Site Supervisors, subcontractors, and clients to ensure all paperwork, compliance, and communication are properly handled.
Key Responsibilities
- Manage and maintain all project documentation, including contracts, drawings, submittals, RFIs, change orders, and closeout documents
- Assist in administering CCDC/CCA-1 contracts, ensuring compliance with contractual requirements
- Track and process RFIs, submittals, and shop drawings using project management software
- Coordinate with subcontractors and consultants for documentation submissions and approvals
- Assist in monitoring project schedules and deadlines, ensuring timely workflow of paperwork
- Support project financial tracking (invoicing, progress claims, lien documentation, holdbacks per Ontario regulations)
- Assist with the preparation of reports, meeting minutes, and project updates
- Maintain organized digital and physical filing systems
- Ensure compliance with Ontario construction regulations and documentation standards
- Projects cross out coordination
Qualifications & Skills
- Minimum 5 years of experience in construction administration or project coordination
- Strong knowledge of construction documentation processes
- Highly familiar with CCDC/CCA-1 contracts
- Experience with tools such as: Bluebeam, Microsoft Outlook / MS Project / Excel / SharePoint
- Buildertrend as an asset
- Excellent organizational skills and attention to detail
- Strong communication skills (written and verbal)
- Ability to manage multiple priorities in a fast-paced environment
- Understanding of Ontario construction laws and holdback processes
- Previous experience in commercial construction required
Nice to Have
- Post-secondary education in Construction Management, Engineering, or similar
- Experience with projects in the $5-15M
Job Type: Full-time
Pay: From $80,000.00 per year
