Overview
3GA Marine is seeking a proficient Engineering Operations Coordinator to support resource planning, project coordination, workload forecasting, business development pipeline tracking, and selected administrative and executive support functions. This role is intended for a highly organized operations professional who can help keep engineering work visible, schedules aligned, project managers supported, and leadership informed about current and future resource demand.
The ideal candidate is proactive, detail-oriented, confident with follow-up, and comfortable working with technical teams without needing to perform engineering work. This role is well suited to someone with experience in project coordination, operations coordination, resource planning, office administration, or executive support within a technical or professional services environment.
Please note: this is a coordination and operations support role, not an engineering or design role. An engineering degree is not required.
Key Responsibilities
- Maintain practical resource planning tools to track staff availability, project demand, workload conflicts, and upcoming resource needs.
- Support project managers by helping coordinate schedules, action items, deliverables, internal follow-ups, and project status visibility.
- Monitor utilization, work allocation, and workload trends to support internal accountability and planning.
- Track business development opportunities, proposal deadlines, bid status, and follow-up items so leadership has a clear view of the pipeline.
- Prepare or update reports, trackers, meeting notes, dashboards, and planning summaries using Microsoft Excel and other business tools.
- Coordinate communication between leadership, project managers, technical staff, administration, and external contacts as required.
- Identify gaps in coordination processes and recommend practical improvements to improve visibility, consistency, and efficiency.
Ideal Candidate Profile
- Proficient, highly organized, and able to manage multiple priorities, trackers, schedules, and action lists without losing detail.
- Comfortable following up with technical staff, project managers, and senior leadership.
- Able to understand engineering operations at a practical coordination level, including project timing, staff availability, workload conflicts, and discipline-specific constraints.
- Strong written and verbal communication skills, with the ability to summarize issues clearly and escalate priorities appropriately.
- Strong working knowledge of Microsoft Excel, Outlook, Word, and Teams; experience with project management, scheduling, CRM, ERP, or timekeeping systems is an asset.
- Discreet, reliable, and able to handle operational, project, and business development information appropriately.
- Experience in an engineering, consulting, marine, construction, industrial, or other technical services environment is an asset, but engineering credentials are not required.
Useful Experience
- Project coordination, operations coordination, resource planning, office administration, executive support, or project controls experience.
- Experience maintaining schedules, trackers, action registers, workload plans, proposal logs, utilization reports, or budget-related summaries.
- Experience supporting project managers, technical teams, or senior leaders with follow-up, prioritization, reporting, and coordination.
- Experience in an engineering consultancy, marine business, shipyard, construction firm, industrial service company, or professional services environment would be beneficial.

Pay: $70,000.00-$95,000.00 per year
