Responsibilities
- Manage front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with excellent phone etiquette.
- Perform data entry tasks accurately using tools such as Microsoft Office, Google Workspace, and QuickBooks to maintain up-to-date records.
- Handle clerical responsibilities such as filing, proofreading documents, and organizing office supplies to ensure a tidy and efficient workspace.
- Provide exceptional customer support by addressing inquiries promptly and professionally via phone or email.
- Assist with bookkeeping activities including invoice processing, expense tracking, and basic financial recordkeeping.
- Support administrative functions like scheduling appointments, coordinating meetings, and managing calendars for staff members.
- Maintain confidentiality of sensitive information while ensuring all office procedures adhere to company policies.
Requirements
- Proven experience in an office environment with strong organizational skills and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and familiarity with QuickBooks or similar accounting software.
- Prior clerical experience including data entry, filing systems, and document proofreading.
- Excellent customer service skills with the ability to handle front desk responsibilities confidently.
- Strong computer skills with knowledge of multi-line phone systems and basic bookkeeping practices.
- Experience working in a medical or dental office is a plus; familiarity with medical/dental receptionist duties is highly desirable.
- Exceptional typing speed with accuracy and attention to detail; good phone etiquette is essential.
- Ability to adapt quickly to changing priorities while maintaining a positive attitude.
