Position: MANAGER, HEALTH RECORD & TRANSCRIPTION
Site: Princess Margaret Cancer Centre
Department: UHN Data and Analytics
Reports to: Senior Director, Enterprise Data Operations
Salary Range: $92,996 - $116,000 per annum (Commensurate with experience and consistent with the UHN Compensation Policy)
Status: Permanent Full-time

PURPOSE:
UHN Data & Analytics supports UHN’s growing demand for data, data-driven insights and helps TeamUHN ensure the needs of the patients come first. Our collective goal is to better see, understand and use data to help UHN become a data-driven organization, which will help us achieve UHN’s strategic goals and ultimately advance care, research and education. UHN Data & Analytics supports UHN in data-driven decisions, data literacy, performance improvement, data governance, analytics, and automation as well as advances these capabilities through collaboration across the organization. The Manager of Health Records and Transcription Services reports into the Sr. Director of Enterprise Data Operations within the Data and Analytics portfolio.

POSITION OVERVIEW:
The preferred candidate for this role will lead a team of 2 supervisors, a team lead, and 45 staff in delivering Health Records & Transcription services to support patient care at all UHN sites. These services include, release of information, identity and chart correction activities, chart completion, scanning, transcription, front-end dictation and management of 3rd party vendor contracts.

A key focus of the role over the coming year will include leading the staff and stakeholders through changes associated with the implementation of our new Health Information System, EPIC. As such, the key focus for this role over the next year will include the following:

1. Leading the Health Records and Transcription teams navigate new workflows and processes associated with the adoption of EPIC within the department.

2. Engage and support hospital stakeholders with new tools and technologies being introduced into the environment such as Dragon Medical One and Point of Care scanning.

3. Supporting Medical Leadership with Chart Completion activities.

In addition, the manager is responsible for day-to-day operations and support, financial management of department resources, outsourced service vendor management and participating in internal and external meetings, initiatives and programs as required. Additionally, the Manager will develop short- and long-term plans that reduce paper storage, streamline processes and realize cost savings.

KEY RESPONSIBILITIES:
Manages all aspect of human resources; hires, promotes, mentors, coaches, disciplines and terminates staff, as required. Directs, motivates, delegates, and empowers staff in the successful performance of their tasks and responsibilities while encouraging innovation
Ensures consistent operation of the department and delivery of quality services relating to the electronic and paper-based health record including outsourced services to 3rd party vendors
Performs planning responsibilities; develops, implements and manages short- and long-term plans which are in alignment with UHN’s goals and strategies.
Performs quality management responsibilities; manages the development, implementation, evaluation and maintenance of quality improvement initiatives which are in alignment with established UHN standards.
Manages the unit/department financial resources; develops & manages the unit/department's annual operating budget of $4M+ for the utilization of resources.
Performs corporate management responsibilities that support and advance UHN’s goals; represents the unit/department internally on UHN committees, as required, and UHN in the external community at conferences, workshops, etc

QUALIFICATIONS:
CHIM Certification through Canadian Health Information Management Association (CHIMA) or recognized equivalent required.
Bachelor Degree Health Information Management, Business Administration or equivalent preferred.
Five (5) years management experience required
Five(5) to 8 years’ experience in a health records services required
EPIC experience preferred
Knowledgeable in all legislation pertaining to Patient information (i.e., PHIPA, Vital Statistics Act, PHA, etc.)
Experience in a Microsoft Office software environment required
Excellent customer service and problem solving skills required
Previous experience with vendor management preferred
Previous experience with championing change initiatives preferred
