ChemStation provides custom-formulated industrial cleaning and process chemicals to commercial and industrial customers through a unique refillable delivery system. The Opportunity
We are looking for an organized, dependable and highly capable Accounting & Customer Service Coordinator to join our team.
This is a hands-on position combining accounting administration, customer invoicing, accounts receivable/payable, payment processing and customer service.
The successful candidate will be comfortable managing routine accounting responsibilities while also jumping into customer inquiries, invoicing, administrative work and other priorities as required.

Key Responsibilities
Accounting & Finance Administration
- Process accounts payable invoices accurately and in a timely manner.
- Enter and voucher supplier invoices and other payments in the ERP system.
- Prepare weekly cheque and/or electronic payment runs.
- Maintain organized supporting documentation for payments.
- Process customer payments and apply receipts accurately.
- Maintain accounts receivable records.
- Prepare customer statements and follow up on outstanding balances as appropriate.
- Assist with bank, credit-card and other account reconciliations.
- Assist with month-end accounting procedures and reporting.
- Maintain accurate accounting records and documentation.
- Identify discrepancies and resolve issues promptly.
- Support the management team with accounting information and administrative reporting.
Customer Invoicing & Account Administration
- Prepare and issue customer invoices accurately and on schedule.
- Review invoices for pricing, quantities, taxes and other discrepancies before release.
- Process credit notes and invoice corrections.
- Respond to customer questions regarding invoices, balances, payments and account status.
- Provide customer statements and account information to customers and sales representatives.
- Coordinate with sales and operations when customer account issues arise.
- Maintain accurate customer account information in the ERP system.
Customer Service
- Respond professionally to customer telephone calls and emails.
- Handle routine customer inquiries and resolve issues independently where possible.
- Coordinate internally with sales, operations, production and delivery personnel to resolve customer issues.
- Follow up on outstanding customer requests.
- Maintain a professional and service-oriented relationship with customers.
- Escalate technical, pricing or commercial matters to the appropriate person when required.
General Administration
- Provide administrative support to the sales and operations teams.
- Assist with order-related administration and documentation.
- Maintain organized electronic and physical records.
- Assist with purchasing, vendor communications and other administrative duties as required.
- Take ownership of tasks and identify work that needs to be completed without waiting to be directed.
What We Are Looking For
The ideal candidate will have:
- 2–5 years of experience in a combined accounting/administrative/customer-service role.
- Practical experience with accounts payable and accounts receivable.
- Experience preparing customer invoices.
- Experience processing payments and maintaining accounting records.
- Experience using an ERP system.
- Strong Microsoft Excel skills.
- Excellent attention to detail and accuracy.
- Strong written and verbal communication skills.
- The ability to prioritize competing demands.
- A professional and courteous customer-service approach.
- The ability to work independently with limited supervision.
- A willingness to perform a broad range of responsibilities in a small-business environment.
Particularly valuable experience
Experience in any of the following environments would be an asset:
- Industrial manufacturing
- Wholesale distribution
- Chemical or industrial products
- Building products
- Equipment or parts distribution
- Commercial services
- Food-service or industrial supply
- Construction supply
- Other privately owned B2B businesses
Chemical-industry experience is not required. We are primarily looking for someone with strong business administration, accounting and customer-service skills who can learn our products and systems.

Pay: $52,000.00-$60,000.00 per year
