The School Assistant provides program and administrative support to the Coordinators, faculty members, and all programs within the School of Health Studies. The School Assistant responds to inquiries from students, the general public and others.
Duties & Responsibilities:
Performs administrative functions to support the Coordinators, faculty members and all programs within the School of Health Studies.
Creates, maintains and updates Student Checklist Sheets and spreadsheets
DCU scheduling for fall, winter and summer semesters
Updates semester schedules for school programs
Assists with permissions, faculty approvals and credits for student registration
Facilitates class list set up for each semester for all programs
Prepares and processes clinical placement correspondence letters, re-admit and withdrawal letters.
Prepares coursepacks for PN, CDA, HCA programs.
Updates course outlines for all programs
Calculates GPA’s for awards and certificates
Updates program plans for all students
Provides administrative support for all school-wide meetings, including agenda preparation, minute taking and ensuring action items are followed up.
Enters and approves HSPnet requests
Manages and monitors group placements
Maintains agency student placement requirements
Grades and Exams:
Assists faculty with and processes midterm and final exams for all programs including BSN, PN, HCA and CDA.
Creates and sets up grading sheets each semester for all programs
Completion of a recognized certificate in office administration from a recognized post-secondary institution
Minimum three (3) years of related experience; preferably in a post-secondary institution.
Advanced proficiency in MS Office programs (Word, Excel, Outlook)
Demonstrated excellent oral, written and verbal communication skills
Demonstrated high level of prioritization, planning and organizational skills
Excellent attention to detail and ability to maintain confidentiality
Highly resourceful and organized; able to problem solve and self-initiate
Demonstrated ability to work effectively in a team environment
Demonstrated ability to deal sensitively, effectively and professionally with students, staff and faculty
Experience with meeting support, including agenda preparation and minute-taking
Knowledge and experience with Banner an asset
