Peterbilt Manitoba Ltd. is looking for a detail-oriented and highly organized Payroll and Benefits Administrator to join the Winnipeg General/Admin team. Reporting directly to the Accounting Manager, the Payroll and Benefits Administrator is responsible for managing payroll and benefits administration for all three Peterbilt Manitoba Ltd. locations.
The Role:
- Prepare and process bi-weekly, semi-monthly, and monthly payrolls for employees across multiple locations, ensuring accurate and timely payment.
- Maintain and update employee files, including attendance, leave, and overtime records, to accurately calculate pay and benefit entitlements.
- Prepare and update payroll-related spreadsheets such as education programs, boot/tool allowances, vacation accruals, sick time, and other relevant data.
- Collaborate with the accounting department to prepare monthly payroll-related spreadsheets and accrual journals.
- Ensure accurate tracking and payment of statutory remittances and other government reporting requirements, such as ROEs (Records of Employment) that are prepared and remitted by Payworks.
- Respond to payroll and benefits inquiries from employees and branch locations in a timely and professional manner.
- Assist with group insurance benefits and pension plan administration, including monthly billing reconciliation and the administration of the long-term disability program.
- Assist with Workers' Compensation Board (WCB) claims by ensuring injured or ill employees are paid for the full day on the date of injury/illness, calculating wage loss benefits, and communicating with WCB to facilitate claims processing. Ensure wage loss reimbursements are properly integrated into payroll.
- Reconcile and remit monthly union dues as per current collective bargaining agreements by applicable location.
- Manage year-end reporting tasks, including the distribution of T4s and other required documents.
- Ensure compliance with all relevant payroll laws, including changes in tax regulations and labor standards.
- Support the Accounting Manager with payroll audits and provide necessary documentation for internal and external audits.
- Additional responsibilities as assigned.
Qualifications:
- Minimum of 3 years of related experience in payroll and benefits administration required.
- Payroll Compliance Practitioner (PCP) designation is considered an asset.
- Strong working knowledge of payroll systems and government regulations, including Employment Insurance (EI), Canada Pension Plan (CPP), and federal/provincial tax requirements.
- Previous experience or knowledge of administering payroll in accordance with collective bargaining agreements is considered an asset.
- Experience assisting with Workers' Compensation Board (WCB) claims, including wage loss calculations, ensuring full-day pay for injuries/illnesses, and coordinating reimbursements with payroll processes is considered an asset.
- Tech-savvy with the ability to quickly adapt to various software systems and databases; experience with Payworks, DealerPilot HR, and CDK Drive is preferred.
- Familiarity with general accounting principles and employment standards is required.
- Advanced proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
- Detail-oriented with a proven track record of maintaining a high level of accuracy.
- Exceptional planning and time management skills, with the ability to meet deadlines.
- Strong verbal and written communication skills, able to effectively communicate with employees and management at all levels.
- Ability to handle sensitive information with complete confidentiality and professionalism.
- Proven ability to work independently as well as part of a collaborative team environment.
