Position Overview
We are seeking a friendly, organized, and reliable Administrative Assistant to be the first point of contact for our clients. This role is essential in ensuring the smooth day-to-day operation of the clinic while delivering excellent customer service.
Key Responsibilities
- Greet and check in clients in a warm and professional manner
- Answer phone calls, emails, and respond to inquiries
- Educate clients on our services and classes
- Sales of memberships, punch passes and retail items
- Schedule and manage appointments using clinic software
- Process payments, direct bill to extended healthcare, issue receipts, and handle basic billing tasks
- Maintain client records and ensure confidentiality
- Support physiotherapists, osteopaths, kinesiologists, RMTs, an acupuncturist, and Pilates instructors with administrative tasks
- Keep the reception area clean, organized, and welcoming
Qualifications & Skills
- Previous administrative or reception experience (healthcare setting is an asset)
- Strong communication and interpersonal skills
- Excellent organizational and multitasking abilities
- Proficiency with computers and scheduling software
- Ability to work independently and as part of a team
- Positive attitude and strong attention to detail
