smoothly. As the heartbeat of the school, you will shape our daily educational
environment by managing front-desk operations, streamlining communications with
families, and keeping essential school records accurate.

About James Mowat Elementary
Located in the welcoming community of Fort
Saskatchewan (just 20 km north of Sherwood Park), James Mowat Elementary is
home to approximately 360 Kindergarten to Grade 6 students, supported by 17
dedicated teachers and 11 incredible support staff. Our mission is simple: to
give students the exact tools, strategies, and individualized support they need
to become confident, lifelong learners.

KEY RESPONSIBILITIES
Administrative and Office Support

Front-Line
Service:
Provide exceptional service to students, staff, parents,
and visitors. You will manage front-door security, handle phones/emails,
and serve as the main point of contact for daily inquiries.
- Problem
Solving:
Independently handle questions and resolve routine complaints
efficiently, looping in school administration only when necessary.
- Clear
Communication:
Draft letters, family notices, and school newsletters,
and help parents navigate system portals.
- School
Spirit & Operations:
Support school administration on special
projects, keep the school website and calendar updated, and monitor
general supply levels.
- Staff
& Schedule Support:
Assist staff with booking substitutes, provide
incoming TOCs with necessary resources, and help maintain safety protocols
during drills.
- Finance
& Health:
Assist with cash handling, fee collection, and basic
audit compliance. You will also monitor student illness patterns,
administer basic first aid, and distribute student medication following
safety procedures.
- Attendance
Tracking:
Keep student attendance data meticulous, alert parents
promptly regarding unnotified absences, and loop in administration when
concerns arise.
Record Management

Student
Data Integrity:
Update student demographic info, manage new
registrations, and handle student transfers/departures.
- Report
Cards & Compliance:
Upload data into the provincial student
information system and process verification forms.
- Confidentiality
& Compliance:
Securely maintain and dispose of records in strict
accordance with legislation like the Protection of Privacy Act (POPA) and
Access to Information Act (ATIA).
EDUCATION AND EXPERIENCE
- Minimum
Requirement:
High School diploma or equivalent.
- Preferred:
A certificate or diploma in office management, business administration, or
a related field.
- Experience:
At least one (1) year of office administration experience. Experience
working within a school division or managing student information records
is a major asset!
Knowledge, Skills and Abilities

Tech
Savvy:
Proficient with Microsoft Office Suite, web-based applications,
and emerging technologies. Familiarity with EIPS platforms (PowerSchool,
Spend Dynamics, Atrieve, SharePoint, Permission Click) and provincial
student information systems is highly valued.

Interpersonal Skills:
Exceptional written and oral communication
skills, with a high level of integrity, professional discretion, and a
knack for handling confidential and sensitive information.
- Adaptable
& Organized:
An eagle eye for detail, master-level time management
skills, and the unique ability to stay calm and focused amidst frequent
interruptions.
- Team-Oriented:
Fully capable of working independently with minimal supervision, while
acting as a supportive, collaborative member of a multi-disciplinary team.
