This newly created position of Family Office Controller will oversee day-to-day accounting operations and cash flow management of a private family office with multiple entities, including holding companies, trusts and investment vehicles. This role will support shareholder-level needs and work closely with the Chief Financial Officer and the property-level accounting team to deliver timely, decision-useful reporting and well-controlled processes. The Family Office Controller will coordinate the collection of information required for tax filings and remittances in collaboration with external tax advisors and process approved actions in accordance with internal authorization protocols.
Key Duties & Responsibilities
- Accounting Operations: Oversee all accounting functions (accounts payable, accounts receivable, payroll, trial balance and general ledger) and prepare monthly bookkeeping for multiple entities. Prepare monthly bank and intercompany reconciliations.
- Investment Accounting: Manage accounting for a broad range of assets, including private equity, real estate, and marketable securities. Collaborate with external asset managers and investment advisors.
- Financial Reporting: Prepare accurate, timely, monthly, quarterly and annual financial statements for multiple entities. Coordinate with external auditors and prepare supporting documentation and workpapers required for the audit.
- Tax Compliance: Coordinate with external tax advisors to support accurate personal, trust, and corporate tax filings by compiling requested schedules, source documents, and reconciliations. Maintain a tax compliance calendar, track information requests and deadlines, and follow up on outstanding items. Prepare and file required GST/HST returns and maintain supporting working papers.
- Cash Management: Manage day-to-day banking activities, reconciliations, and fund transfers. Monitor cash flow and ensure sufficient liquidity for operational and family needs, capital calls, and philanthropic activities. Process tax and instalment remittances based on external advisor calculations and internal approvals and maintain supporting documentation.
- Mortgage Reporting: Collaborate with external lenders to provide supporting information for mortgages financings and renewals. Prepare annual compliance requests from external lenders.
- Controls & Processes: Implement internal controls and leverage technology to optimize accounting workflows.
Skills and Abilities
- Must hold a Bachelor’s degree in Accounting, Finance or related field; Canadian CPA designation strongly preferred.
- A minimum of 5 – 8+ years of accounting experience, ideally with previous experience in real estate or working for a family-owned company.
- Strong knowledge of Canadian accounting principles and tax considerations.
- Experience with investment accounting and consolidated financial reporting.
- Having an advanced knowledge of Yardi property management software would be considered an asset.
- Must have exceptional strong financial analytical skills, communication skills, extreme attention to detail, proactive problem-solver, and high ethical standards.
