The Opportunity
We are seeking an exceptional Executive Assistant to support one of Vancouver’s most prominent clients in a full-time, on-site capacity.
This is a high-touch, fast-paced role that requires impeccable professionalism, outstanding communication skills, and the ability to anticipate needs before they arise. You will be embedded within a luxury lifestyle environment, managing a broad range of personal and professional responsibilities while maintaining the highest standards of discretion, service, and attention to detail.
This is not a traditional Executive Assistant position. It is an opportunity to work closely with a high-profile client, providing seamless support across all aspects of their daily life and operations.
Schedule
Monday to Friday, 9:00 AM – 5:00 PM (On-Site)Additional hours and overtime may be required based on business and client needs.
Key Responsibilities
Executive & Administrative Support
- Manage complex calendars, schedules, and competing priorities.
- Coordinate meetings, appointments, and time-sensitive engagements.
- Handle correspondence, including emails, phone calls, and messages with professionalism and discretion.
- Anticipate needs and proactively resolve issues before they arise.
Travel & Lifestyle Management
- Plan and coordinate domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries.
- Liaise with private aviation providers, charter operators, and travel partners.
- Arrange restaurant reservations, exclusive experiences, and luxury hospitality services.
- Manage personal shopping, procurement, and sourcing of specialty items.
Estate & Vendor Coordination
- Coordinate with vendors, tradespeople, service providers, and household staff on behalf of the client.
- Assist with managing residential properties and related operational needs.
- Ensure projects and service requests are completed efficiently and to the highest standard.
Events & Special Projects
- Support the planning and execution of private events, gatherings, and special occasions.
- Manage logistics for both personal and professional engagements.
- Handle ad hoc requests and special projects with flexibility and urgency.
Confidentiality & Client Care
- Maintain strict confidentiality and discretion in all interactions and responsibilities.
- Represent the client and Grandeur Group with professionalism at all times.
- Deliver a consistently exceptional level of service and attention to detail.
Qualifications & Experience
Required
- Minimum of 2 years of experience as an Executive Assistant, Personal Assistant, Concierge, or in a luxury hospitality, lifestyle management, or client service role.
- Exceptional written and verbal communication skills.
- Strong organizational and time-management abilities.
- High attention to detail and accuracy.
- Ability to remain calm, professional, and resourceful under pressure.
- Proactive mindset with the ability to anticipate needs and solve problems independently.
- Strong proficiency with scheduling software, travel platforms, and communication tools.
- Valid driver’s license.
Preferred
- Experience supporting executives, entrepreneurs, or high-net-worth individuals.
- Background in luxury hospitality, private aviation, concierge services, or estate management.
- Experience managing complex travel arrangements and high-touch client service environments.
