Job Description:
As a Service Administrator you will be responsible for supporting daily operations to ensure documentation accuracy and that all necessary parts and information are available to field mechanics, facilitating smooth service operations. We are looking for someone who takes pride in being meticulous.
Key Responsibilities:
- Support with maintenance contracts by ensuring equipment lists are accurate and up to date
- Update maintenance contracts as needed
- Ensure maintenance inventory is up to date and accurate
- Assist Operations Manager to get the maintenance scheduled and organized
- Support in planning the daily schedule of mechanics
- Create Purchase Orders (PO’s)
- Order parts on behalf of the Service team
- Ensure all clients records are up to date in Jobber
- Support the accounting and operations team with inventory management
- Support the Operations Manager with administrative tasks, as required
Requirements:
- Proven experience in administrative roles that require a high attention to detail
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent computer skills and ability to learn new software platforms quickly
- Strong organizational and time management skills.
- Ability to maintain confidentiality and handle sensitive information.
- Good communication skills and ability to work as part of a team.
- Experience in the construction industry is helpful, but not required
- Experience dispatching service calls is highly desirable
- All applicants are required to have an Open Work Permit, Permanent Resident or Citizenship
