Overview
We are seeking a detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will provide essential support to our office operations, ensuring smooth day-to-day functions. This role involves handling various clerical tasks, managing communication channels, maintaining accurate records and undertaking billing for various insurance companies. Experience with office software and excellent customer service skills are essential for success in this position.
Duties
- Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professional phone etiquette
- Perform data entry and maintain organized filing systems both physically and digitally
- Utilize Microsoft Office Suite and Google Workspace for document creation, spreadsheets, and bookkeeping tasks
- Assist with appointment scheduling and coordinate meetings as needed
- Provide customer support through email, phone calls, and in-person interactions
- Support billing, invoicing, and basic bookkeeping activities related to office finances
- Proofread documents for accuracy and clarity before distribution
- Handle administrative tasks such as photocopying, scanning, and maintaining office supplies
- Support medical office operations if applicable, including patient record management and receptionist duties
Qualifications
- Proven experience in an administrative or clerical role, preferably within a medical or dental office setting
- Strong proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace
- Experience with Electronic Medical Record programs is desirable
- Excellent organizational skills with the ability to prioritize tasks effectively
- Exceptional data entry skills with high accuracy and attention to detail
- Effective communication skills demonstrating professionalism in customer service and phone etiquette
- Experience managing multi-line phone systems and front desk operations
- Ability to handle filing systems efficiently and maintain confidentiality of sensitive information
- Basic bookkeeping knowledge is a plus
- Demonstrated ability to work independently while supporting team objectives
This position offers a dynamic work environment where organizational skills and customer service excellence are highly valued. The successful candidate will play a vital role in ensuring the efficiency of our office operations.
Ideal working hours will be 8am to 4pm daily with appropriately scheduled breaks; flexibility in working hours is possible if it can be mutually agreed upon.
Beginning hourly rate will be based on previous work experience in the field, familiarization with Electronic Medical Record programs and strong first impressions. Increases in hourly rate will be evaluated annually and will be determined based on merit, market rates and economic factors.
Paid time off will begin at 2 weeks (10 working days) and is subject to increase over time based on worker's merit and commitment to the company.
Pay: $20.00-$25.00 per hour
