Role Summary

The Human Resources Analyst supports the People & Culture Team by ensuring accurate data maintenance and reporting and successfully producing information related to HR records, services and programs.

The HR Analyst will become the subject matter expert on the use of Eminence’s newly implemented Human Resources Information System (HRIS) and will provide support and training for all team-members.

The HR Analyst will provide data capture and reporting for HR programs and will maintain the company-wide Key Performance Indicators spreadsheet including the calculation and on-going tracking of bonuses for all team-members. The Analyst will also support the HR Team in the creation and distribution of employee-facing templates, documents and correspondence.

Reporting and Peer Relationships

The Human Resources Analyst reports to the Human Resources Manager and ultimately to the Director of People & Culture and works closely with all members of the Human Resources team. The Analyst will respond to queries and interact with team-members from all departments within Eminence including Customer Education, Sales, Business Development, Order Services, Supply Chain, Information Technology, Marketing, Digital, Product Development, Finance, Operations and Organization Development.

Roles and Responsibilities

Duties and responsibilities include, but are not limited to:
Human Resource Information System (HRIS)

Liaise with HRIS vendor to complete the implementation of the newly acquired HRIS
Participate in data verification/audit of transfer of records to new platform
Coordinate and implement additional phases/modules for HRIS
Provide subject matter expertise for the administration and use of the HRIS; provide support and training to organization-wide team-members as needed
Update and maintain employee data in the HRIS database
Develop and maintain end-user documentation for ongoing training and support
Ensure compliance with data privacy and data protection guidelines
Data Management and Reporting

Develop and maintain standard and ad hoc reports, dashboards and metrics from the HRIS and Excel Spreadsheets:
headcount, retention, tenure, recruiting & safety statistics, people movement
tracking of key data related to the use of people-based programs such as training and professional development, transit, wellness, benefits, tuition, paid time off programs
maintenance of the company-wide Key Performance Indicator spreadsheet and tracking of bonus achievement by employee and department
Research, analyze, and present data as assigned
Respond to employees and leaders’ queries, issues, and concerns related to policy and employee data
Key Performance Indicators

At Eminence, all full-time team-members have Key Performance Indicators (KPIs) which drive Quarterly and Year-end bonus achievement. The HR Analyst will partner with the Director of People & Culture to coordinate reporting submissions from leaders and to calculate bonus payments:
Lead the calculation & review of Quarterly and Year-end bonus results
Lead the tracking and reporting of Company and Departmental KPIs
Create and maintain checklists and systems to track bonus eligibility and exceptions
Create letters to distribute Quarterly & Annual Goals & Objectives
Create and distribute bonus achievement summaries for each team-member following bonus payment cycle (4 Quarterly payments and 1 Year End payment)
HR Support

Manage the creation and distribution of employee-facing templates and documents including but not limited to offer letters, contracts, bonus results, compensation adjustments, position changes, and departures
Serve as the subject matter expert and respond to employees and leaders regarding employee programs and processes
Provide backup and support for payroll and other HR team members as required
Perform other duties and special projects as assigned
Process Analysis and Improvement

Work closely with HR team to gather, understand and document business processes
Analyze team processes and workflows to identify opportunities for greater efficiency
Compliance Advising

Maintain up-to-date knowledge of BC Employment and Labour Standards, monitoring and communicating updates to the team as necessary to ensure compliance

Experience Required:
Data Analytics – 3+ years
Data gathering, reporting and analysis
Previous education or experience in supporting a Human Resources team/function
Previous experience in maintaining/supporting a Human Resources Information System (HRIS)
Excel Report Creation & Generation – 3 years (complex formulas including but not limited to IF statements, VLOOKUP and familiarity with Pivot Tables)
Software implementation & training experience
Familiarity with employment contracts/law; ability to interpret and develop contracts an asset

Skills Required:
Ability to translate data to create meaningful reports to inform team decision making and planning
Advanced computer skills (Excel, Word, Outlook, PowerPoint) required, particularly Excel (see above)
Superior analytical and problem-solving skills, with a focus on quality and best practices
