PROFILE
Gowling WLG is seeking a full-time Legal Administrative Assistant to provide maternity leave coverage for our Real Estate group in our Business Law department. This job is a one-year contract position with the possibility of an extension. Working within our Business Law department, the successful candidate will perform full regulatory and legal administrative work of a responsible and confidential nature for two or more professionals. This position receives some direction or guidance; some tasks and objectives are accomplished independently.
Our Legal Administrative Assistant will work in a team environment providing support to our professionals. The successful candidate will bring excellent attention to detail, strong organizational skills, and a passion for Real Estate.
RESPONSIBILITIES

Organizing and expediting the flow of work through the professional's practice, initiating any follow-up action, as appropriate;

Accurately preparing regulatory and legal documents and correspondence with minimal direction;

Transcribing and typing regulatory and legal documents and correspondence;

Liaising between the professionals and various internal and external individuals, groups and clients at all levels;

Working proactively in a team environment in the day-to-day support of the professional's practice;

Using initiative and good judgment to relieve the professional of administrative detail;

Preparing and organizing client materials for the professional and file management;

Supporting the practice group in monitoring billing matters and undertaking of administrative tasks such as opening and closing files, docketing, and accounting;

Managing the professional’s calendar including travel arrangements;

Assists the professional with schedules and deadlines;

Other duties as assigned.
QUALIFICATIONS

Administrative Assistant or Legal Administrative Assistant Diploma coupled with a minimum of two years of legal administrative assistant experience;

Aptitude to take care of clients’ needs in a professional and courteous manner;

Produce a high quality and quantity of work products under tight timelines;

Handle stress in a business-appropriate manner;

Ability to use discretion when dealing with confidential information;

Strong problem-solving skills, including the ability to set priorities while dealing with conflicting and emerging priorities;

Excellent coordination and organizational skills;

Capacity to work independently, as well as in a team environment;

Excellent interpersonal skills with the ability to work effectively with other staff and professionals;

Strong written, oral and verbal communication skills;

Excellent grammar and proofreading skills;

Advanced knowledge of Microsoft Office Suite (proficient in Word, PowerPoint and Excel);

Ability to multi-task within a fast-paced environment.

The starting range for this role is $60,000 to $73,500. Starting salary will be determined based on an applicant’s individual skills, competencies and unique qualifications. Gowling WLG employees have the potential to exceed this range based on tenure and performance.
