The Opportunity
Montebello Medical Clinic is looking for an experienced and collaborative Medical Clinic Supervisor to join our team.
We are a family and maternity care practice serving the Salmon Arm community and are proud to be a UBC-affiliated teaching clinic, supporting both exceptional patient care and the education of future family physicians.
Working closely with the Medical Director, you'll coordinate the day-to-day operations of the clinic, provide frontline supervision and support to the Medical Office Assistant (MOA) team, and help ensure the clinic runs smoothly. You'll play an important role in supporting clinic operations while partnering closely with the Medical Director, who provides overall operational oversight.
This is a working supervisor role, with approximately three days each week dedicated to clinic leadership, operations, and administration, and approximately one day each week providing direct Medical Office Assistant (MOA) support. Additional MOA coverage may be required during vacations, absences, or periods of increased operational need.

Key Responsibilities
- Provide day-to-day supervision and support to the Medical Office Assistant (MOA) team by assisting with onboarding, training, coaching, mentoring, employee development, and resolving day-to-day workplace concerns. Support the Medical Director with recruitment, performance discussions, and fostering a collaborative, respectful workplace culture.
- Coordinate the day-to-day operations of the clinic by helping ensure efficient workflow, excellent patient service, and an organized clinic environment. Monitor clinic supplies and inventory, vaccines, medication expiry dates, medical device reprocessing, autoclave maintenance, Accuro EMR, clinic communications, vendors, building maintenance, and contracted services, escalating operational issues to the Medical Director as needed.
- Provide direct Medical Office Assistant support approximately one day each week, with additional coverage during vacations, absences, or busy periods. Support physicians and patients through reception, scheduling, patient flow, and other front-office responsibilities.
- Coordinate clinic scheduling and administration by preparing MOA schedules, assisting with physician, resident, locum, hospital, and maternity coverage, reviewing vacation requests, supporting payroll administration through Dayforce, coordinating meetings, preparing agendas and minutes, and maintaining communication with physicians, hospitals, and community healthcare partners.
- Support physician billing and administrative processes by assisting with MSP, Longitudinal Family Physician (LFP), ICBC, WCB, inpatient, maternity, and private billings, monitoring outstanding claims, maintaining fee codes and billing systems, processing private payments and locum reconciliations, and working closely with the Medical Director and clinic bookkeeper to help ensure billing processes remain accurate.
- Support quality, safety, and continuous improvement by maintaining clinic policies, Occupational Health & Safety requirements, First Aid supplies, required signage, and helping ensure MOAs remain competent in required clinical support procedures.
- Help create an exceptional clinic experience by building positive relationships with physicians, staff, residents, patients, and healthcare partners while contributing to a welcoming, supportive, and team-focused workplace.

What Makes You a Great Fit?
- You have 3–5 years of experience working in a medical clinic or primary care environment.
- You have experience as a Medical Office Assistant (MOA), Senior MOA, Team Lead, Assistant Clinic Manager, or in a similar healthcare role.
- Medical Office Assistant certification is preferred; however, an equivalent combination of education and experience will be considered.
- You enjoy supporting and coordinating a team through coaching, collaboration, and leading by example.
- You have experience coordinating clinic operations, physician scheduling, medical billing, payroll administration, and administrative processes.
- You are proactive, organized, and comfortable managing competing priorities.
- You communicate effectively and build positive relationships with physicians, staff, patients, and external partners.
- You enjoy being part of a team and are willing to step in and support where needed.
- Experience with Accuro EMR and Dayforce is considered an asset.
- A satisfactory Criminal Record Check is required.
