Job Description
Reporting to the CEO, the Business Operations Coordinator is responsible for coordinating administrative, HR, payroll, safety, training, and business support functions across the organization. This position serves as a central point of coordination, ensuring priorities, documentation, compliance requirements, and operational initiatives are completed effectively, accurately, and on time.
The successful candidate is highly organized, detail-oriented, proactive, and able to effectively prioritize competing demands while maintaining a high level of accuracy, professionalism, and confidentiality.
Salary
$35 - $45 per hour
Responsibilities
Business Operations Coordination and Executive Administrative Support
- Monitor project timelines and ensure follow-up on assigned action items.
- Maintain company policies, procedures, forms, templates, and operational documentation.
- Coordinate implementation of new processes and continuous improvement initiatives.
- Identify administrative inefficiencies and recommend process improvements.
- Maintain document control and ensure organizational records remain current and accurate.
- Provide administrative support to the CEO and leadership team.
- Coordinate meetings, schedules, travel arrangements, and company events.
- Prepare reports, presentations, spreadsheets, correspondence, and business documentation.
- Coordinate internal company communications and announcements.
Human Resources Coordination
- Coordinate recruitment activities, including job postings, applicant tracking, interview scheduling, candidate communication, and pre-employment requirements.
- Coordinate employee onboarding, orientation, and offboarding processes.
- Prepare employment agreements, offer letters, employment documentation, and employee correspondence.
- Maintain confidential employee files and personnel records.
- Process employee status changes, including wage adjustments, position changes, promotions, leaves of absence, and terminations.
- Track probationary periods, performance reviews, employee milestones, and training requirements.
- Coordinate employee recognition and engagement initiatives.
- Maintain Human Resources policies, procedures, forms, and document templates.
- Ensure compliance with company policies, Alberta Employment Standards, and internal HR processes.
- Coordinate employee documentation, coaching records, performance documentation, and employee-related administrative processes.
- Administer employee benefit enrollments, changes, and terminations.
- Coordinate employee RRSP enrollment and payroll deductions.
Payroll & Employee Administration
- Maintain employee profiles within the payroll system.
- Enter new employee information and maintain accurate employee records.
- Review employee timesheets, attendance records, vacation requests, overtime, and leave documentation for payroll processing.
- Prepare and process payroll in accordance with company procedures and payroll deadlines.
- Investigate and resolve payroll discrepancies and employee payroll inquiries.
- Maintain employee vacation, sick leave, and other leave balances.
- Maintain payroll records and supporting documentation.
- Prepare payroll reports and administrative reports as required.
- Coordinate year-end payroll administration and payroll-related documentation.
- Ensure payroll and employee information remains accurate, confidential, and up to date.
Safety, Training & Compliance Coordination
- Coordinate the Company's health and safety program and administrative requirements.
- Schedule, coordinate and Co-Chair the Joint Health and Safety Committee meetings.
- Prepare meeting agendas, minutes, and follow up on action items.
- Maintain safety records, inspections, incident investigations, corrective actions, and compliance documentation.
- Track employee certifications, licenses, training requirements, and expiry dates.
- Coordinate monthly safety meetings, toolbox talks, and safety communications.
- Coordinate internal and external employee training.
- Maintain employee training records, training matrixes, and compliance documentation.
- Coordinate safety audits, inspections, and compliance initiatives.
- Promote company safety standards and safe work practices throughout the organization.
- Maintain organizational calendars, records, and administrative systems.
- Support special projects and business initiatives.
- Maintain confidentiality when handling employee, financial, and company information.
- Perform other duties as assigned by the CEO.
Qualifications
- 2-5 years of experience in Business Operations, Human Resources Administration, Office Administration, Payroll Administration, Safety Administration, or a related role is an asset.
- Experience with employee onboarding, benefits administration, and recruitment coordination considered an asset.
- Experience supporting workplace safety programs and compliance initiatives considered an asset.
- Valid Class 5 driver’s license with a clean driving record required
Knowledge
- Working knowledge of Alberta Employment Standards
- Working knowledge of Occupational Health & Safety legislation
- Understanding of HR administration and employee record management
- Understanding of payroll and benefits administration
