Fundraising & Event Coordinator ( one year contract )
Reporting to the Director, Fund Development and Donor Relations, the Fundraising & Event Coordinator delivers essential administrative, logistical, and operational support to plan, execute, and evaluate the fundraising events and donor campaigns. This hands-on role coordinates event logistics, manages calendars, supports volunteer involvement, processes donations, and assists with outreach to build strong community partnerships and secure sustainable funding.
What you will be doing as a Fundraising & Event Coordinator:
Event Planning & Execution
- Organize all administrative and physical logistics for agency fundraising events, campaigns, and third-party initiatives.
- Create and track detailed event calendars, execution timelines, and operational checklists.
- Serve as the main point of contact for event suppliers, vendors, venue staff, and community sponsors.
- Support post-event evaluations, gathering feedback and data to assess ROI, total funds raised, and areas for improvement.
Volunteer & Community Engagement
- Coordinate volunteer recruitment, scheduling, orientation, and day-of management for event activities.
- Assist with the preparation and delivery of presentations to local service clubs, corporate sponsors, and community partners.
- Help assemble and distribute sponsorship packages, event materials, and donor outreach toolkits.
Donor Relations & Revenue Administration
- Process event-related donations and ticket sales; generate accurate tax receipts and personalized acknowledgement letters in a timely manner.
- Maintain donor and sponsor records within the donor database, ensuring accurate data entry, event attendance tracking, and preference logging.
- Assist in researching local foundation grants, community funds, and corporate sponsorship opportunities.
Communications & Operations
- Collaborate with the Communications team to draft engaging event promotional copy, social media updates, and outreach materials.
- Compile and prepare progress reports on event registrations, donor responses, and campaign targets for leadership.
- Support regulatory compliance for fundraising activities, such as social gaming licenses and local event permits.
What you should have as a Fundraising & Event Coordinator:
- Education: Diploma or Degree in Event Management, Fundraising, Communications, Business Administration, or an acceptable equivalent combination of education and experience.
- Experience: Minimum 3 years of recent experience in event coordination, campaign support, and administrative fundraising within a non-profit environment.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience using donor management/CRM software.
- Licensing & Travel: Valid driver’s license and access to reliable transportation for local event travel and off-site meetings.

Shift time for Fundraising & Event Coordinator:

· $26-$32/hr
Pay: $26.00-$32.00 per hour
