Scheduling Operations Supervisor

Schedule: Monday to Friday, 9:00 a.m. – 5:00 p.m.
About the Role
Reporting directly to the VP of Operations, the Scheduling Operations Supervisor oversees the daily activities of the Scheduling Department while ensuring staffing requirements are met across multiple client locations. This position plays a key role in maintaining service excellence by supervising scheduling staff, coordinating workforce coverage, managing client relationships, resolving operational issues, and supporting continuous improvement initiatives.

Key Responsibilities
- Supervise the Scheduling Department and provide leadership, coaching, and support to Scheduling Coordinators.
- Ensure timely staffing coverage for client shifts and respond to call-offs, schedule changes, and urgent staffing requests.
- Monitor staffing levels, attendance, and workforce deployment to ensure operational efficiency.
- Build and maintain positive relationships with clients while providing exceptional customer service.
- Investigate and resolve operational issues, incidents, and service concerns.
- Monitor scheduling performance and recommend process improvements.
- Prepare operational reports, staffing metrics, and KPI tracking.
- Collaborate with recruitment, People & Culture, and senior leadership to support staffing and operational goals.
- Promote compliance with company policies, employment standards, and health and safety requirements.
- Participate in workforce planning, employee coaching, and continuous improvement initiatives.
Qualifications
- Minimum 1–2 years of supervisory or operations experience.
- Strong leadership, organizational, and problem-solving skills.
- Excellent communication and customer service skills.
- Ability to work in a fast-paced, deadline-driven environment.
- Strong computer skills, including Microsoft Office (Word, Excel, Outlook).
- Experience managing multiple priorities with exceptional attention to detail.
- Diploma or Bachelor's Degree in Business Administration, Human Resources, Operations Management, or a related field.
- Experience in staffing, healthcare, hospitality, security, workforce management, or another service-based industry.
- Experience supervising scheduling or workforce coordination teams.
- Experience handling client relationships and operational escalations.

Working Conditions
This position is primarily office-based at our Scarborough office, with occasional travel to client sites as required. Flexibility to respond to urgent operational matters outside regular business hours is expected, and occasional evening, overnight, or weekend on-call coverage may be required based on operational needs.
