We are seeking a highly organized and detail-oriented Logistics Coordinator to own and optimize the daily order operations across our tanker transport and 3PL businesses. This role coordinates order processing, customer communication, and billing preparation through our TMS (Rose Rocket) to keep both operations running accurately and on time. The ideal candidate is fluent in logistics software, disciplined about data accuracy, and self-directed enough to run a daily workflow without supervision. This is a build-it role with real ownership and clear metrics — an excellent opportunity to take a growing operation’s logistics from good to seamless.
We measure this role on output — orders processed accurately, billing packages complete, exceptions cleared — not on hours logged.
What you’ll do:
- Process incoming tanker transport orders: review order data, correct errors, enter complete orders into Rose Rocket, coordinate scheduling, and confirm details with customers.
- Process 3PL orders: confirm inventory, release orders, and communicate exceptions to clients.
- Own customer communication — confirmations, follow-ups, and status requests.
- Prepare complete, accurate billing packages for accounting on completed orders — verifying that all accessorial charges (waiting/detention time, extra stops, etc.) and supporting paperwork (BOLs, PODs, rate confirmations) are captured. (This role prepares the billing data; accounting issues the invoices.)
- Compile and verify driver payroll data (hours, trips, accessorials) and submit it to accounting/payroll accurately and on time.
- Ensure all order paperwork is complete, correct, and filed so accounting and audits have what they need.
- Resolve day-to-day order issues yourself; escalate to the Operations Manager only when something genuinely requires it.
What you need:
- 2+ years in logistics coordination, 3PL operations, transportation administration, or supply chain coordination.
- Comfortable working in logistics software all day. Either fluent in a TMS/WMS already, or able to become fluent in Rose Rocket within 2–3 weeks (we’ll test this).
- Strong, clear written communication — most customer contact is by email.
- Detail-disciplined and self-directed: you can run a daily workflow from a written process without supervision, and you catch missing charges and paperwork before they cost the company money.
Nice to have:
- Tanker, bulk liquid, or fuel transport experience.
- Familiarity with Rose Rocket or similar TMS/WMS platforms.
- Knowledge of Ontario & Quebec transport operations and regulations.
