The Faculty of Liberal Arts and Professional Studies (LA&PS) is the largest Faculty at York University with over 27,000 undergraduate and graduate students, and almost 100 programs delivered through 25 Departments, Schools and Colleges, plus the IBM Markham learning site. In addition, the Administrative and Project Assistant provides support for projects and student service as necessary. The Administrative & Project Assistant is an important and valuable member of the Student Academic Advising Centre and understands how their role helps to advance and implement the Centre's mission and vision of providing the highest quality student support. The Administrative & Project Assistant will contribute to a professional, positive, supportive, and student-focused team environment of high performance, respect, trust, collaboration and continuous improvement that embraces diversity and fosters inclusion.The Administrative & Project Assistant supports the vision, mission, values and strategic direction of the Faculty of Liberal Arts & Professional Studies and York University, and understands how their efforts contribute to the goals and objectives of the Schools/Departments, the Faculty and the University more broadly.The Administrative & Project Assistant contributes to a positive, supportive and student-focused team environment of high performance, respect, trust, collaboration and continuous improvement and embraces diversity and fosters inclusion.
Completion of additional post-secondary courses in office administration, finance, accounting/bookkeeping or an equivalent combination of directly relevant education and experience in addition to the experiential requirements outlined below.
This position requires a minimum of 3 years' related administrative support, customer service and budget reconciliation and/or administrative experience preferably in a fast-paced, client-focused university environment. Experience with front-line student service delivery is preferred.
Strong student/client-service focus, with the ability to work courteously and effectively with people, obtaining and providing information in a clear and concise manner. Excellent organizational and planning skills, including ability to work effectively under pressure of high volume. Ability to set priorities and meet deadlines. Ability to work independently excellent communications skills (oral and written) including minute taking and report writing. Demonstrated initiative, excellent judgement and discretion with confidential or sensitive materials and information. Demonstrated effectiveness in attending to details. Tact and diplomacy. Ability to maintain confidentiality and. Ability to work as an effective member of a team with professionalism, punctuality and reliability.Demonstrated high level of accuracy. Demonstrated proficiency with the following software packages: e-Reports (or other large-scale financial software package), Windows Office (i.e. Word, Excel, PowerPoint, Outlook including calendaring), on-line databases (e.g. SIS), electronic calendar/scheduling software and e-mail software.
