The candidate will help organize, communicate, and support changes, work with teams and customers, gather feedback, create various communication materials, and track progress—with a strong focus on managing change and helping everyone prepare.
Plan & Document Changes: Work on creating timelines, formalizing, and documenting how changes (to tools or systems—both new or updated) will happen.
Create and Share Materials: Work with the team to prepare materials about the change—such as newsletters, documents, videos, and announcements. Most materials will be created using templates.
Gather Feedback: Identify the right people (internal staff or external customers), ask for their input and feedback about upcoming changes, and adjust plans as needed.
Collaboration: Collaborate closely with the training department so everyone is ready for the change and knows how to adapt.
Internal & External Involvement: Work mainly with internal teams, but also interact with customers and external stakeholders as required.
Balanced Role: The job is split about 50/50 between managing organizational change and engaging people, but it starts with a bigger focus on the change management tasks.
Track Progress & Improve: Create metrics (measurement tools) to track how well engagements and changes are working; regularly look for ways to improve communication and engagement.
Looking for :
- 3–5 years’ experience in internal communications, organizational change, or transformation projects, plus a recognized change management certification (e.g., Prosci, CCMP, APMG).
- Outstanding communication skills—skilled at writing, editing, and simplifying complex information for different audiences.
- Strong ability to engage stakeholders, influence decisions, resolve conflict, and use data to drive improvements.
Location Ottawa / Halifax / Victoria
This role is Hybrid, 3 days in office, 2 days work from home.
Schedule: Core hours are 9:30am–3pm local time (somehow flexible)
Maximum PayRate: 60/hr T4
Interview - 1 interview via Team
Clearance Requirement: Reliability, CGP, or Trade clearance to start but must be eligible to obtain NATO- Secret
Duration 1 year - This position can be extended or become permanent
Position Summary
The AJISS Program is seeking a dynamic Organizational Change Management (OCM) & Stakeholder Engagement Specialist to support enterprise transformation initiatives. Reporting to the OCM Lead, the OCM & Stakeholder Engagement Specialist supports the implementation and delivery of organizational change management activities across our strategic initiatives. This role has a focus on developing change specific communications and engagement materials – including stakeholder messaging, readiness content, and project audience communications - that support the successful adoption of organizational, process, and technology changes. The Specialist also collaborates with cross-functional teams to ensure clear, timely, and consistent messaging throughout the change lifecycle.
Essential Functions / Key Areas of Responsibility
Change Planning and Execution
- Support the development and execution of change management plans aligned with program and organizational objectives.
- Assist with change impact assessments to identify how initiatives affect employees, processes, and teams.
- Coordinate change management activities across multiple projects and workstreams.
Communications Support
- Perform stakeholder analysis and develop engagement strategies.
- Develop and maintain the OCM Engagement and Communication Strategy.
- Develop and implement change messaging plans that support change management strategies for transformation initiatives.
- Translate complex program information into clear, engaging information for different audiences.
Content Development
- Design materials and deliver targeted communication campaigns (e.g., Town Halls, newsletters, digital tools) to ensure transparency and clarity.
- Align change activity communications with our compliance and data sensitivity policies (e.g., C2/C3 handling).
Stakeholder Engagement
- Create stakeholder maps, communication matrices, and RACI charts.
- Support engagement initiatives including workshops, feedback sessions, and change champion networks.
- Help identify stakeholder communication needs and ensure messaging addresses key concerns and impacts.
- Monitor employee feedback and sentiment to inform stakeholder engagement strategies.
OCM Program Support
- Coordinate engagement activities across multiple transformation initiatives.
- Maintain engagement calendars and ensure consistent messaging across programs.
Measurement and Continuous Improvement
- Track engagement effectiveness using metrics and feedback.
- Utilize data analytics tools (e.g., surveys, heatmaps) to measure change effectiveness.
- Identify opportunities to improve messaging, timing, and communication channels.
- Facilitate workshops, focus groups, and feedback sessions.
- Conduct post-implementation reviews to identify lessons learned and continuous improvement opportunities.
Minimum Requirements: Skills, Experience, Education, Technical/Specialized Knowledge, Certifications, Language
- Bachelor’s degree or diploma in Communications, Public Relations, Business, Organizational Development, or related field.
- 3–5 years’ experience in internal communications, organizational change management, or transformation programs.
- Certification in Change Management (e.g., Prosci, CCMP, APMG).
- Exceptional writing, editing, and storytelling skills.
- Experience translating complex information into clear and engaging content.
- Strong stakeholder engagement and communication skills.
- Influencing and negotiation abilities to manage resistance and conflict.
- Analytical thinking to translate data into actionable insights.
- Cultural awareness to navigate global/regional nuances (critical for our international footprint).
- Familiarity with collaboration tools (MS Teams, SharePoint)
Preferred Qualifications
- Experience in aerospace, defense, technology, or highly regulated industries is highly valued.
Pay: $60.00 per hour
