Position Summary
We are seeking a Project Lead with strong project management skills to join our amazing Mental Health & Substance Use team for this one year term. The ability to coordinate activities and projects, and work successfully with multiple stakeholders is important so strong communication, organization and collaboration is key.
About the role:
Reporting to the Director, Clinical Operations and working with the MHSU Managers of Clinical Operations, the Project Coordinator, Kamloops MHSU Service Consolidation Project facilitates and coordinates the amalgamation of Community MHSU services into one central location in Kamloops. The Project Coordinator oversees the work flow of this project including: space planning; coordination of tenant improvements; stakeholder engagement; documentation and communication; and operational changes. The Project Coordinator provides the leadership and expertise required to support the project and operational teams to ensure the project is delivered within scope, cost, time, and quality to support the consolidation of Kamloops MHSU services.
KEY RESPONSIBILITIES:
1. Facilitates and coordinates the project to ensure adherence to project specifics including budget, milestones and timelines and to meet operational/functional program requirements.
- Develops a project plan that includes scope, measures, stakeholder engagement plan, communication plan, implementation plan, budge management, milestones, timelines and risks.
- Acts as a liaison between project team and operational team to ensure operational/functional program requirements are understood and implemented within time and budget expectations and according to Interior Health (IH) policies and practices.
- Coordinates and chairs project steering committee meetings to establish project schedules.
- Coordinates and participates in the establishment and verification of project budgets.
2. Undertakes specific activities/projects related to the project;
- Establishes a project team, stakeholder group and/or working group, as required
- establishes effective working relationships at local and IH levels;
- Chairs and supports project-specific working groups, as required.
- Completes and maintains project documentation including establishing tracking mechanisms for feedback/recommendations provided.
- Consults with stakeholders and content experts.
- Utilizes the use of a change management process with key stakeholders.
- Communicates project progress by preparing and distributing progress reports, developing presentations as required.
3. Coordinates the work of the Director and Manager by performing duties such as:
- Develops processes and protocols for project coordination and decision-making;
- Tracks and monitors follow up and completion of action and issue items:
- Analyzes input from project members and stakeholders on specific issues;
- Develops background information and briefing documents; and
- Researches and promotes best practice strategies for client service and staff/client safety
4. Acts as the primary resource person related to project issues as well as support for the MHSU Managers and any working groups.
- Helps define, prioritize, and strategize, with the Kamloops MHSU Leadership, issues of common interest to the project;
- develops and preserves communication pathways to allow the ready flow of relevant information among all involved partners.
- Confers with program and project team members to provide technical advice and to resolve problems.
5. Develops processes for managing, coding, and maintaining the integrity and confidentiality of information (internal, external, statutory, non-statutory, and clinical).
- Responds to internal and external information requests including responding to questions/concerns about the project plan.
- Consults/collaborates with relevant partners/stakeholders and MHSU staff to compile information, including data, briefings and project summaries.
- Reviews all information to ensure submissions are complete and relevant.
6. Leads quality assurance and risk management processes to support MHSU leadership and operational teams through process improvements in order to maintain focus on quality and continuous improvement.
7. Promotes IH within the community, demonstrating IH values/mission in interactions with the public and building awareness of MHSU activities with staff; partnering agencies; municiple staff.
8. Performs other related duties as assigned.
Qualifications
- Degree in Business, Administration and/or project management
- Five years of recent, related experience, working in a complex healthcare environment, preferably in Mental Health and Substance Use, including a minimum of one year of leadership and project implementation experience.
- An equivalent combination of education, training, and experience.

Skills and Abilities
- Knowledge of health systems planning principles and frameworks, principles of change management, project management, administration, and current MHSU service delivery issues and challenges.

- A valid BC Driver’s License.
- Physical ability to perform the duties of the position.
