Job Overview
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will manage daily administrative tasks, support office operations, and ensure smooth communication across departments. This role requires strong computer skills, excellent customer service abilities, and proficiency in various office software. The Office Administrator will play a vital role in maintaining an efficient and professional office environment, supporting both internal staff and external clients.
Responsibilities
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
- Handle filing systems, document proofreading, and general clerical tasks to ensure organized record keeping
- Support customer service efforts by addressing inquiries promptly and providing exceptional support to clients and visitors
- Assist with bookkeeping duties, including invoicing, billing, and basic financial record management
- Coordinate appointments, schedule meetings, and manage calendars for staff as needed
- Maintain office supplies inventory and place orders to ensure smooth daily operations
- Support medical or dental office functions if applicable, including patient check-in/out and insurance documentation
- Ensure compliance with office policies and procedures while maintaining a professional appearance at the front desk
Qualifications
- Proven experience in office administration or clerical roles
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, QuickBooks, and basic computer skills
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Excellent customer service skills with professional phone etiquette and communication abilities
- Experience with data entry, filing systems, proofreading, and administrative support tasks
- Demonstrated organizational skills with attention to detail in documentation and record-keeping
- Previous experience in bookkeeping or office admin settings is desirable but not required
Pay: $16.67-$25.00 per hour
