Job Summary
The Program Assistant supports the daily operations of the Mental Health Program by providing administrative, client service, and systems support. Key responsibilities include managing front-line administrative functions such as client registration, reception, appointment scheduling, and general clerical duties. Supporting the effective use of program systems, including maintaining accurate and up-to-date information within CRMS software. Coordinating and monitoring client flow to ensure efficient and organized service delivery throughout the program.
Qualifications and Experience:
- Health Services Office Administration diploma or equivalent.
- Medical terminology course required.
- Three years’ experience in an administrative position with Healthcare/Mental Health preferred.
- Completion of NVCI (Nonviolent Crisis Intervention) or MOAB (Management of Aggressive Behaviours) training or equivalent preferred.
Skills and Abilities
- Demonstrated computer literacy with Microsoft Office (Word, Outlook and Excel).
- Accurate keyboarding skills (minimum 50 wpm).
- Ability to complete physician OHIP billing
- Proven proficiency in registration system software and booking functions.
- Demonstrate excellence in communication, customer service, teamwork, collaboration, problem solving, individual leadership and safety awareness.
- Superior interpersonal and problem-solving skills.
- Demonstrated appreciation and respect for protocol, professionalism, confidentiality and attention to detail.
- Proven ability to manage escalating situations specifically related to mental health.
- Excellent organizational skills and an ability to prioritize the workload and multi-task.
- Ability to work efficiently independently and in a teamwork environment.

Hours of Work: In order to provide the necessary patient care, our operations run 24/7. There is the expectation that you are available to work weekdays, weekends and all shifts.
