POSITION: Administrative Assistant
LOCATION: Winnipeg, MB
STATUS: Full-Time

JOB OVERVIEW
We are currently seeking an Administrative Assistant to provide assistance and support to our Wealth Planning Group. In this role, the successful candidate will focus on enhancing the efficiency of the Wealth Planning Group by providing a range of administrative assistance, which includes assistance with the processing, preparation and delivery of Wealth Planning (WP) deliverables. The Administrative Assistant may also have responsibility for other general administrative tasks relating to the Winnipeg office as a whole.

WHAT YOU WILL DO
Work in conjunction with other WP administrative assistants and the WP Group to facilitate fluid coordination of wealth planning services
Explain wealth planning procedures and administrative requirements to Assante advisors, their assistants and corporate staff
Assist in the implementation and maintenance of WP policies, procedures, programs, and tools
Coordinate WP calls, mail, e-mail and couriers
Complete expense reports, purchase orders and supply orders
Use the WP Group’s document management and imaging system
Filing, faxing, photocopying, proofreading, and emailing correspondence
Participate in other administrative tasks as assigned by the WP administrative team supervisor and the WP management team
Convert finalized deliverables into PDF documents, send them to recipients and store them in the document management system
Ensure that WP deliverables are professionally presented and aesthetically pleasing

WHAT YOU WILL BRING
Diploma in Administrative or Office Procedures preferred
Several years of progressively responsible administrative experience in an office environment
High degree of accuracy and attention to detail
A positive team-first attitude
Self-motivation
An ability to adapt to changing demands, prioritize multiple tasks and meet deadlines
Considerable experience with MS Office software; particularly Word, PowerPoint, Excel, and Outlook
Experience in the finance/investment industry an asset
Excellent verbal and written communication skills
Excellent keyboard skills
Strong organizational skills
Sensitive to issues of confidentiality
Ability to work effectively and efficiently as part of a team in a fast-paced environment
