YOUR DUTIES
We are looking for a highly organized, personable, and detail-oriented Sales Coordinator to join our growing team. In this role, you will serve as the central point of contact between our clients, service technicians, and insurance providers — ensuring every customer receives prompt, professional, and seamless service from first inquiry through to completed purchase and follow-up support.
This is a varied, fast-paced role that combines customer service, administrative coordination, and sales support in a meaningful healthcare-adjacent environment.
KEY RESPONSIBILITIES
Service Appointment Coordination
● Schedule and manage service appointments for equipment maintenance, repairs, and fittings
● Liaise with service technicians to ensure efficient scheduling and minimize client wait times
● Send appointment reminders and follow-up communications to clients
● Maintain an organized appointment calendar and service log
Insurance & Funding Paperwork
● Prepare, complete, and submit documentation and claims to insurance companies, WorkSafeBC, ICBC, MSP, and other third-party funders
● Follow up on outstanding claims and liaise with insurance adjusters and case managers
● Track claim statuses and communicate updates to clients
● Maintain accurate and compliant records of all insurance submissions and approvals
Invoicing & Payment Processing
● Generate accurate invoices for products, services, and repairs using the company's billing system
● Process payments via credit card, debit, insurance direct billing, and cheque
● Reconcile daily payment transactions and flag any discrepancies
● Issue receipts and maintain organized financial records for bookkeeping purposes
Sales Reporting
● Prepare weekly and monthly sales reports summarizing revenue, product performance, and service volumes
● Track sales trends, inventory movement, and outstanding quotes
● Provide management with actionable insights to support business decisions
● Maintain up-to-date records in the CRM or sales tracking system
Client Support
● Serve as the first point of contact for incoming calls, emails, and walk-in client inquiries
● Provide knowledgeable, empathetic assistance to clients regarding product selection, pricing, availability, and insurance coverage
● Follow up with clients post-purchase to ensure satisfaction and address any issues
● Build long-term relationships with clients, caregivers, and healthcare referral partners
Pay: $22.00-$25.00 per hour
Expected hours: 40.0 per week
