We are currently seeking an Experienced Trade Spend & Deductions Analyst to join our team. This role is critical to the financial health of the business, with full ownership of the deduction’s lifecycle, including validation, recovery, reporting, and process optimization. The ideal candidate is highly analytical, detail-oriented, and capable of managing multiple priorities while driving continuous improvement.
Position Overview
Reporting to the VP of Sales, this role is responsible for overseeing the end-to-end management of customer deductions and billbacks, ensuring timely resolution, maximizing recovery, and minimizing future risk. The position works cross-functionally with Sales, Finance, and Brand Management and serves as the primary point of escalation for complex deduction issues.
Key Responsibilities
· Own the end-to-end deductions process, including retrieval, validation, dispute, and resolution
· Manage customer portal activity across major retailers (e.g., Loblaw, Sobeys, Metro)
· Review and reconcile deductions to ensure accuracy and proper documentation
· Submit, track, and dispute claims to maximize recovery
· Monitor deduction aging and proactively drive timely resolution
· Preparation of Monthly Billback reports
· Analyze deduction trends and identify root causes of recurring issues
· Develop and deliver monthly reporting on deduction aging
· Partner with Sales, Finance, and Brand Managers to resolve invalid deductions
· Act as the primary escalation point for complex or high-value claims
· Collaborate with internal teams to correct pricing, promotional, and billing discrepancies
· Improve communication processes with customers related to claims and disputes
· Adhere to Standard Operating Procedures (SOPs), set for the department
· Identify and implement process improvements to increase efficiency and accuracy
· Oversee Trade Management System integrity, including promotion setup and maintenance
· Support automation initiatives and system enhancements where applicable
· Review GL transactions related to deductions and support account reconciliations
· Ensure proper documentation and audit readiness for internal and external reviews
· Prepare Principal Invoices, where appliable
· Provide guidance, training, and mentorship to team members as applicable
· Support a culture of accountability, continuous improvement, teamwork and collaboration
Success in This Role
· Improved deduction recovery rates and reduced aging of open items
· Reduction in invalid deductions through root cause analysis and corrective actions
· Timely and accurate execution of monthly billback processes
· Increased operational efficiency through process improvements and system optimization
Qualifications
· 5–8+ years of experience in deductions management, trade spend, and sales reporting
· Post-secondary education in Accounting, Finance, or a related field is preferred
· Strong understanding of general accounting principles, reconciliation processes, promotional allowances, pricing agreements, and customer billbacks
· Experience working with major retailer portals (e.g., Loblaw, Sobeys, Metro) is an asset
· Familiarity with ERP systems (SAP, Oracle, IFS, or similar)
· Advanced Microsoft Excel skills and strong analytical capabilities
· Excellent communication skills with a professional and collaborative approach
· Proven ability to manage multiple priorities in a fast-paced environment
· Experience mentoring or supporting team members is considered an asset

Schedule:

· Friday: 8 AM – 1PM
· The expectation of staff is that they are available Friday afternoons as required, for continuity of the business or for time sensitive requirements.
Salary Range : $70,000-$75,000
Work Location:
· Mississauga, Ontario
· Hybrid Model: 3 Office Days, 2 Work from Home Days - This can change as business needs change, as determined by the manager.
Initial 6 months may require 5 days, per week, in the office, until the successful candidate can effectively work on their own, as determined by the manager.
