ICR is looking for a Property Administrator for our Rentals Department to join our growing team. The Rental Property Administrator provides administrative support to the Property Manager.
Job Duties:
Ø Maintain up-to-date list of owners, tenants of all residential properties.
Ø Create residential management agreements under the direction of the partners and ensure the “New Property Takeover Procedure & Checklist” is completed.
Ø Administer all new lease documents as they are sent in (including new leases, extensions, amendments and renewals) and ensure “New Lease Procedure & Checklist” is completed as well as a welcome letter to the tenant.
Ø Administer all rental forms & reports as required.
Ø Prepare generalized correspondence to owners and tenants, including but not limited to budgeting reports & letters, fee increases and special assessments. arrears letters, default letters, rent step letters, lease infraction letters, and changes to RANs as applicable.
Ø Various monthly invoicing tasks for management and maintenance agreements.
Ø Track tenant/owner insurance and ensuring requirements are followed as per the Lease. Send letters requesting proof of insurance as required.
Ø Administer parking charges and agreements.
Ø Maintenance of property management key cabinet and log.
Ø Complete credit checks and Personal Property searches as required.
Ø Respond/coordinate to clients, contractors, vendors.
Ø Filing, scanning, archiving.
Ø Cover for Reception when needed.
The ideal candidate will be highly organized and can prioritize effectively. This role works as part of a team, but the ability to work independently is a must! Intermediate knowledge and understanding of MS applications is a must!
