HR & Administration Manager
Reports to: General Manager & CEO
The HR & Administration Manager is responsible for overseeing the company’s Human Resources and administrative functions and providing direct support to the CEO and Senior Management Team. This role helps ensure the company’s people, administrative processes, and day-to-day operations are well managed, organized, and running efficiently.
Working across all areas of the organization, the HR & Administration Manager serves as a central point of coordination for employees and leadership. The role supports effective communication, maintains important company processes and documentation, and ensures HR and administrative requirements are handled consistently and in alignment with the company’s goals.
Key Responsibilities :
Executive Assistant to the CEO
- Scheduling and coordinating the CEO’s meetings, appointments, and daily priorities
- Preparing meeting agendas, materials, notes, and follow-ups
- Maintain organized electronic and physical filing systems
Office Administration
- Prepare, organize, and manage contract documentation and proposals, ensuring proper execution, filing, and version control.
- Administrative insurance documentation (employee benefits & company wide insurance).
- Maintain and update internal records (HR, insurance, leases, vehicles, etc.).
- Provide administrative support for all departments in coordination with management.
- Provide administrative support for platforms such as BuilderTrend, Microsoft 365, and network systems.
- Prepare and deliver bi-weekly pillar (department) reports for the Senior Management Team.
- Collaborate with the team to ensure client and project needs are addressed efficiently.
- Support production operations by preparing safety kits, project binders, invoices, and assisting with financial close-out and other tasks as directed.
Finance
- Partner with the Financial Controller and Bookkeeper to maintain and update weekly cash flow reports with project development receivables and ensure financial accuracy.
Human Resources
- Lead HR operations, ensuring policies and procedures are current, compliant, and consistently applied.
- Oversee the HR review cycle, including quarterly updates to the company pay scale based on market benchmarks.
- Manage employee onboarding and offboarding, ensuring completion of documentation, background checks, and orientation.
- Serve as the company representative for immigration-related requests and employment documentation.
- Support the GM and CEO in maintaining a positive, compliant, and transparent workplace culture.
Job Type: Full-time
Pay: $60,000.00-$70,000.00 per year
