Career Contacts is supporting our client in the search for an Executive Assistant to join their team. This temporary opportunity is ideal for an experienced executive assistant who thrives in a fast-paced environment, enjoys supporting senior leadership, and has experience coordinating board and governance activities.
Reporting to the CEO, the successful candidate will play a key role in supporting executive operations, coordinating governance processes, and ensuring the efficient flow of information across the organization. This position requires exceptional organizational skills, professionalism, discretion, and the ability to manage competing priorities.
Start Date: Immediately
Hours: Monday - Friday, 9 am to 5 pm
Job Type: Full-Time, Temporary
Compensation: $35 - 38 per hour

Responsibilities:
- Provide comprehensive administrative support to the CEO
- Manage calendars, schedule meetings, coordinate travel, and oversee changing priorities
- Prepare meeting agendas, presentations, reports, correspondence, and briefing materials
- Coordinate meetings for the Board of Directors and leadership committees, including scheduling, logistics, meeting materials, and minute-taking
- Maintain confidential corporate records and ensure governance documentation is organized and up to date
- Monitor action items, deadlines, and follow-up activities arising from executive and board meetings
- Assist with special projects, research, reporting, and organizational initiatives.
- Coordinate office administrative functions and support cross-departmental activities
- Maintain electronic filing systems and support document management processes
- Identify opportunities to improve administrative workflows, implement efficiencies, and support process improvements
- Provide administrative support for Microsoft 365 and other business systems as required
- Perform other related duties as assigned
Requirements:
- Diploma or degree in Business Administration, Office Administration, Public Administration, or a related field, or an equivalent combination of education and experience
- 5+ years of experience providing executive-level administrative support
- Experience supporting a Board of Directors or senior leadership team is considered a strong asset
- Excellent organizational, planning, and time management skills
- Strong written and verbal communication skills
- Proven ability to manage multiple priorities while maintaining accuracy and attention to detail
- High level of professionalism, discretion, and confidentiality
- Strong interpersonal skills with the ability to build effective working relationships
- Proficiency with Microsoft Office 365, Outlook, Teams, SharePoint, and virtual meeting platforms
- Experience with board portals, CRM systems, or other business applications is considered an asset
- Self-motivated, adaptable, and committed to continuous improvement
