Overview
We are seeking a detail-oriented and organized Office Administrator to join our team. This role is vital in ensuring smooth daily operations within our office environment. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office software. Experience in medical or dental office settings is a plus, but not required. Duties
- Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
- Handle filing, document proofreading, and organization of office files to ensure easy retrieval and compliance
- Provide exceptional customer service support to clients and patients, addressing inquiries efficiently
- Assist with bookkeeping tasks such as invoicing, billing, and basic financial record keeping
- Support administrative tasks including scheduling appointments, managing calendars, and coordinating meetings
- Maintain a clean and organized work environment to promote efficiency
- Support medical or dental office operations by managing patient records, verifying insurance information, and assisting with other clerical duties as needed
Experience
- Prior office experience is preferred, especially in clerical or administrative roles within medical or dental offices
- Familiarity with QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills are highly desirable
- Experience with front desk duties, multi-line phone systems, filing systems, and customer service is essential
- Strong organizational skills with attention to detail; ability to proofread documents accurately
- Excellent phone etiquette and communication skills for effective customer support
- Proven ability to handle multiple tasks efficiently in a fast-paced environment
- Previous experience in bookkeeping or medical/dental office settings will be considered an asset
