First point of contact for Burlington Office. Welcome and assist clients or visitors of the company, both in person and over the phone.
Open and distribute mail. Arrange couriers and deliveries.
Provide administrative support to management team for their calendars and daily activities.
Manage a variety of administrative duties (e.g. research, produce correspondence and reports, formatting, assembly of presentations and document management).
Respond to internal inquiries and redirect to the appropriate department manager when required.
Assist with special projects as assigned.
Scheduling and maintaining office calendar of events (board room bookings, special events, etc.).
Prepare/reconcile expenses for senior management.
Perform records management and document control support functions for all the various phases of documentation life cycle management.
Maintain, and update database information, manuals and other associated records.
Maintain stationery and office supplies ensuring sufficient inventory levels are maintained.
Stock and maintain lunchroom supplies.
Order and pick-up sundry items such as groceries, meals, printed materials, etc.
Assist with social media campaigns and brand enhancement.
Demonstrates a professional attitude with a high degree of integrity and diplomacy.
Confidence and maturity to interact with public, employees and senior management.
Self-motivated. Ability to work alone or in a team environment.
Social intelligence: pleasant, positive, flexible and solution-oriented.
3-5 years experience as an Administrative Assistant in a professional environment.
Advanced computer skills, including Microsoft Word, Excel, Power Point.
Excellent oral and written communication skills.
Understanding of marketing and branding strategies, considered an asset.
