The Role:
Are you a patient focused professional with excellent communication skills and clinic experience?
KMH Cardiology Centres Inc. is growing and we are recruiting for a Medical Office Assistant.
The Accountabilities:
The goal of this position is to provide an outstanding service experience to patients at our labs. The key accountabilities of the role include:
- Meet and achieve KPI’s and performance goals. Ensure tasks are completed in a timely manner within pre-defined KPI’s for the team. Utilize Tableau daily to facilitate KPI attainment.
- Be the first point of contact for patients during their in-clinic experience- greet patients and visitors as they arrive. Respond to patient check-ins, enquiries and phone calls. Facilitate patient flow by communicating patients' arrival and respond to patient inquiries in a courteous and empathetic manner. Accurately register patients by obtaining complete demographics, insurance information and consent. Maintain a clean and organized reception area.
- Execute bookings for KMH services and optimize clinic capacity. Communicate appointment details and reschedules. Schedule and confirm patient appointments and follow ups. Execute bookings for diagnostic tests and new consult referrals from physicians. Build rapport with patients by responding to inquiries and provide clear explanation of test procedure and preparations per protocols. Complete books administration tasks including confirmation, chart checks and phone calls.
- Build and develop relationships with new and existing patients, physician offices and other healthcare facilities. Coordinate with external facilities to obtain results/reports and to schedule or reschedule appointments. Manage incoming third party forms with Finance team and physicians. Complete and coordinate timely referrals including new charts and booking shell.
- Respond to high volume of inbound and outbound calls promptly.
- Maintain attention to detail for all medical records. Scan documents into patient charts.
- Maintain accurate patient records and ensure:
§ all required forms and documentation are completed per protocols
§ all prior requests and documentations are received in a timely manner
- Ensure the privacy and confidentiality of paitent health information
- Collaborate with internal teams to provide and gather information, enabling patient requirements to be dealt with efficiently. Foster a collegial and respectful team and office environment.
Required skills and experience:
- Minimum 1 year medical office experience in a similar role
- Cardiology clinic experience is an asset
- Medical office administration diploma
- Ability to work proficiently and independently in a fast paced environment
- Ability to establish priorities and achieve objectives with minimal supervision
- Excellent verbal and written communication skills including a good telephone manner
- Strong understanding of medical terminology
- Proficiency in technology including MS Office and EMR systems experience
- Good time management and organization skills
- Ability to deal with sensitive information with a high degree of privacy and diplomacy
- Team orientation
- The ability to provide coverage at a second location: KMH North York.

This is a full-time position that is scheduled between Monday-Friday. Saturday’s are required on rotation with the team.
This role is scheduled for shifts with start times as below:
- 6.45 am-2.45 pm
- 10.00 am-6.00 pm
This role reports to the Team Lead Reception.
