Brief Description
One Temporary, Full-time Position (Up to 12 months).

Capital Power Corporation is currently seeking an innovative and results-oriented individual to join our Renewables Admin CDN team.

Reporting to the Senior Manager, Renewables, the Administrative Assistant, Renewables provides administrative services and support to the Renewables team.

Key accountabilities:
Detailed Description
  • Management of travel arrangement requirements on a need basis for department members, i.e. book travel for Senior Manager, Renewables.
  • Ensure time sensitive tasks and daily workloads are effectively managed with a high level of accuracy, provide timely administrative and secretarial support as needed.
  • Respond to inquiries by internal and external customers.
  • Word processing of formal and informal business communications where terminology, grammar, punctuation, arrangement and set-up require judgment and skill for business manager and other managers as required.
  • Maintenance of confidential correspondence and information.
  • Standardization of documents; create spreadsheets, word documents, and run Oracle reports for site managers as required.
  • Prepare meeting minutes and action plans as required.
  • Collect and develop information for the creation of reports and graphs.
  • Process outgoing mail and courier packages.
  • Coordinate and/or assist with company meetings and functions. Prepare catering orders, set up and return meeting rooms to as-found condition following meetings.
  • Ensure off-site events are effectively managed, communicated and all meeting requirements are obtained.
  • Manage conference room calendars. Schedule appointments or update calendars when necessary. Book boardrooms; check on availability for employees as requested.
  • Set up new vendors as required ensuring necessary information is received. Contact all vendors regarding any/all issues.
  • Create purchase requisitions in Oracle for non-operational work on sites.
  • Provide administrative support for special programs and initiatives undertaken by the department.
  • Oversee the development and maintenance of the Renewables team SharePoint site. Manage and maintain documents in SharePoint.
  • Acquire vacation and training reports for department members – may be asked to follow up with managers and employees to obtain status.
  • Enter, track, and review purchase order invoices, scan and acquire approvals. Complete receiving process in Oracle and enter invoices into Oracle ensuring accurate and timely payment of all vendor invoices.
  • Review sign-off invoices, scan and enter in Oracle ensuring accurate and timely payment of all vendor invoices.
  • Ensure proper brand management in all areas of communication.
  • Keep inventory of office supplies and order supplies as needed.
  • Monitor Accounts Payable invoices and troubleshoot all issues.
  • Review job processes regularly to ensure best work procedures are being used.
  • Manage company purchasing card (P-Card) by reconciling statements with invoices and timely submission of statements with appropriate expenditure description. Reconcile corporate credit cards.
  • Assist and/or prepare expense reports for employees.
  • Process expense claims and p-card reconciliation (with proper Oracle strings) Works with other Administrative staff to provide interdepartmental work / vacation coverage.
  • Is required to plan and provide administrative support for senior leadership level meetings (executive participants on occasion). Is required to organize and administer these meetings with a high level of professionalism.
  • Works well with Site Managers (will be required to ensure department administrative processes and standards are followed).
  • Liaise with other internal group coordinators to deliver required support.
  • Ensure sites’ activities are communicated in a timely fashion to the site leaders.
Job Requirements

  • High school diploma; secondary level diploma in office administration is an asset.
  • Office Administration Certificate and/or additional work experience skills in Business Writing, Event Management Skills, Purchasing, and Travel would also be an asset.
  • Proficient in MS Word, Excel, Access, MS Project, PowerPoint, Share Point.
  • Business Writing, Event Management Skills, Purchasing, Records Management skills.
  • Plans assignments effectively.
Additional Details
Hours of Work: 8.0 hours per day, 40.0 hours per week

Union: CSU52 - A2

Wage: $27.02
