Job Summary – Clinic Administrator (AHC Wellness Clinic)
At AHC Wellness Clinic, we are committed to providing professional, patient-centered care in a welcoming and efficient environment. As we expand to our new Oakville location within the Oakville Health Centre, we are seeking a Clinic Administrator to oversee the day-to-day administrative operations of our multidisciplinary clinic.
This key role ensures seamless front desk operations, supports both patients and practitioners, and contributes to an exceptional overall patient experience. The ideal candidate is highly organized, detail-oriented, tech-savvy, and passionate about delivering outstanding healthcare service.
Key Responsibilities
- Welcome and check in patients, providing a professional and friendly first point of contact.
- Handle patient inquiries both in person and over the phone, and manage appointment scheduling using Jane App.
- Assist patients with direct billing and insurance claims submission through Telus Health and other portals.
- Process patient payments, issue receipts, and reconcile daily transactions accurately.
- Maintain and update patient records in accordance with healthcare privacy regulations.
- Coordinate communication between patients and practitioners to ensure a seamless care experience.
- Perform general administrative tasks such as data entry, document proofreading, and email correspondence.
- Maintain clinic organization and cleanliness to support an efficient, welcoming environment.
- Use Google Workspace (Docs, Sheets, Calendar) for internal scheduling and team coordination.
- Support the onboarding and training of new front desk team members.
Qualifications
The following qualifications are preferred but not required. Training will be provided.
- Prior experience in a front desk or administrative role within a healthcare or wellness setting is an asset.
- Familiarity with direct billing platforms (e.g., Telus Health, Provider Connect) and insurance claim procedures.
- Proficiency with Google Workspace and appointment management systems (e.g., Jane App).
- Exceptional organization and multitasking skills, with a high level of accuracy and attention to detail.
- Strong communication and customer service skills with a compassionate and professional demeanor.
- Ability to maintain confidentiality and uphold privacy standards in line with PHIPA/HIPAA.
- Comfortable working in a fast-paced clinic environment with multiple providers and patients.
Work Schedule
This position currently requires availability primarily during the following times:
- Weekdays and nights (10:00AM-10:00PM)
- Weekend days and nights (10:00AM-10:00PM)

Specific schedules will be arranged based on clinic needs and staff availability. Flexibility is appreciated, and occasional availability during other hours may be helpful when required.
