Casual Receptionist - Burnaby, BC

Saturday regular hours 8-5 and fill in for weekday vacations.

Monarch House in Burnaby is looking for a Receptionist to join our team! Reporting directly to the Clinic Administrator, this function will provide pleasant, cooperative and knowledgeable front-line interaction with clients and their families/support systems. This position is temporary but may become permanent if reception on leave does not return.

Specific Responsibilities:
  • Answers the telephone and provides callers with information about the clinic, takes clear, complete messages;
  • Prepares, organizes and maintains the charts used daily for appointments, files charts, reports and other correspondence and pulls charts for the next day;
  • Explains Monarch House procedures to patients, insurance and rehabilitation companies, employers and physicians, as appropriate;
  • Books appointments either by telephone or in person. Confirms all new assessments for the next business day;
  • Manages the appointment schedule to minimize cancelled appointments and vacancies;
  • Enters patient data, daily patient charges for behavioral interventionists (BI), collects payments and issues receipts;
  • Manages Private account receivables under direction of the Clinic Administrator;
  • Assist with completion and distribution of Request to Pay (RTP) to families and support systems
  • Cross-checks and totals daily payments; prepares and makes bank deposits under the direction of the Administrator
  • Responsible for thank you for referral letters
  • Prepares prospective client information packages
  • Creates employee passes
  • Customer service experience required, ideally in the service sector;
  • Warm, friendly telephone manner;
  • Strong grasp of billing and reconciliation processes;
  • Attention to detail;
  • Computer literacy (Windows);
  • Able to communicate well internally and externally;
  • Strong organizational and problem solving skills.
