About the Role
We’re looking for a reliable and detail-oriented Office Administrator to support day-to-day operations, including invoicing, accounts receivable/payable, and general office coordination.
This role is ideal for someone who understands how quotes, purchase orders, invoices, and payments flow through a business — and takes pride in keeping things accurate, organized, and on time.
Key Responsibilities:
Office Administration
- Answer and direct incoming calls and greet visitors
- Manage emails and general office communication
- Maintain organized digital and physical filing systems
- Order office supplies and coordinate with vendors
- Support internal team with administrative tasks
Invoicing, A/R & A/P
- Prepare and send customer invoices
- Follow up on outstanding accounts receivable (A/R)
- Assist with quotes, pricing updates, and order tracking
- Process purchase orders and match invoices to orders
- Review incoming bills for accuracy and proper approval
- Enter credit card transactions and expenses into QuickBooks
- Process accounts payable and prepare payments
- Ensure all transactions are accurate and completed on time
What We’re Looking For
- Strong attention to detail and organizational skills
- Comfortable working with numbers, invoices, and data entry
- Understanding of basic business flow (quotes → POs → invoices → payments)
- Ability to manage multiple tasks and meet deadlines
- Professional and friendly communication skills
Qualifications
- 2–4 years experience in an administrative, office, or accounting support role
- Experience with invoicing, A/R, A/P, or order processing
- QuickBooks or similar accounting software experience is an asset
- Proficient with Microsoft Office and general computer systems
- Valid driver’s license and reliable transportation
Pay: $40,000.00-$55,000.00 per year
