The Administrative Assistant provides comprehensive administrative support and plays a key role in developing, implementing, and maintaining efficient support systems in a fast-paced, confidential, and multitasking environment. Working within a highly regulated industry—an industry governed by detailed regulatory and compliance requirements—this role also supports the servicing of high-net-worth and affluent clients, requiring a high level of professionalism and attention to detail. Situations may arise where variations in workload, periodic responsibilities, or special projects and events require overtime to meet business needs.
Responsibilities
- Receive client inquiries on behalf of the Advisor and determine appropriate course of action. This may include proactively investigating and resolving client problems and recording the nature of the inquiry and advising the Advisor.
- Processing/reviewing daily business transactions regarding client accounts and managing/updating client databases.
- Preparing and maintaining client files, paperwork, and meeting notes.
- Track workflows, outstanding tasks, and deadlines to help keep client deliverables organized and on schedule.
- Contact clients and schedule appointments for the Advisor.
- Support additional projects and team initiatives as required.
Qualifications
- Administration Diploma or other Postsecondary degree in a relevant discipline or equivalent experience.
- Proficiency in Mandarin or Cantonese is considered a strong asset.
- Prior experience in financial services administration and familiarity with industry platforms such as Salesforce is highly preferred.
- Strong computer skills with the Office 365 (Outlook, Word, Excel, Power Point).
- Customer service orientation with a demonstrated ability to interact professionally with clients; both in a virtual environment and in person.
- Discretion and ability to organize and prioritize multiple tasks under tight deadlines.

- This is a hybrid role combining in-office work in North York and remote flexibility.

Pay: $40,000.00-$50,000.00 per year
