Reporting to the Associate Dean, Student Success Programs, the First-Year Experience ("FYE") Program Assistant provides administrative and logistical support to the FYE team by organizing and expediting administrative procedures and program logistics in relation to all first-year experience projects and programming.
Specific Responsibilities Include:
Assisting in the development, promotion and delivery of multiple events of varying scope and size throughout the first-year experience student lifecycle from pre-arrival through to the end of the second semester;
Assisting in the development and implementation of project management methodologies and techniques for creating event timelines and workflow;
Assisting with organizing the hiring, training, and orientation of student and staff volunteers for various events and programs;
Building relationships and maintaining regular, professional communication with stakeholders accross the Sheridan community and with external partners;
Answering questions from students, employees, and the public regarding FYE programs and events; redirecting inquiries to other areas, as appropriate;
Coordinating scheduling for all events such as pre-arrival orientation, new student orientation, first-year class visits, etc.;
Managing meeting requirements (room scheduling, catering, WebEx, AV, etc.);
Representing the FYE Team in communications and interactions with a broad range of individuals including staff, faculty, alumni, community members, and other students;
Maintaining accurate databases - volunteers, workshop attendees, etc.;
Other duties as assigned.
The successful candidates will have a 2-year diploma in Office Administration or a related field, as well as a minimum of two years of experience working in a diverse office environment carrying out project support and administrative duties (or a relevant equivalent combination of education and experience). The successful candidate will possess excellent interpersonal, communication, and customer service skills and judgement. The incumbent will demonstrate efficiency in using Word for report writing and working with Excel for data reporting. Strong attention to detail skills are mandatory for this position. Experience working and communicatin effectively with diverse client populations would be considered an asset.
