The Role: Project Billing Coordinator
We are seeking a detail-oriented and collaborative Billing Coordinator to join our team on a 12-month contract to cover a parental leave, with the potential for extension or conversion to a permanent position based on business needs.
The Billing Coordinator plays a critical role in ensuring accurate, timely, and contract-aligned billing across architectural projects. This position supports both Project Managers and the Finance team by maintaining billing schedules, monitoring budgets, and resolving discrepancies. Reporting directly to the Account Manager, this role is ideal for a detail-oriented professional who thrives in a collaborative, fast-paced environment.
Responsibilities
- Generate and review client invoices in accordance with contracts, project milestones, and billable hours
- Collaborate closely with Project Managers to confirm billing accuracy and alignment with project timelines
- Monitor project budgets to ensure billing reflects actual project expenses
- Respond to client inquiries and resolve billing discrepancies in a timely and professional manner
- Maintain accurate and organized financial records, including invoices, payments, and transaction history
- Set up and maintain client accounts, ensuring all information is complete and accurate
- Investigate discrepancies related to phased billing, labour hours, and expense submissions
- Track approval status of estimates and revisions to ensure billing accuracy
- Provide financial coordination support across project teams
- Perform other related duties as reasonably assigned
What You Bring
- Minimum of 1 year of experience in billing, invoicing, or financial operations
- Post-secondary degree or diploma in Accounting
- Foundational understanding of accounting principles and financial reporting
- Strong attention to detail with a high level of accuracy in financial documentation
- Clear and professional written and verbal communication skills
- Ability to manage multiple priorities in a deadline-driven environment
- Proactive mindset with the ability to identify and resolve discrepancies independently
- Collaborative approach to working with project teams and finance
Technical Skills
- Proficiency in accounting software
- Advanced skills in Microsoft Excel for data analysis and reporting
- Familiarity with billing systems and financial reporting tools
