Event Coordinator

The Event Coordinator will work specifically on the Canada-wide Science Fair (CWSF) team. The CWSF is a week-long event that bring together the top 500 science students and their chaperones from across the country to compete at the National level.
Representative Responsibilities
  • Create event plans for all of the sub-events happening during CWSF.
  • Coordinate all aspects of pre-event planning, including delegate package preparation, promotional materials ordering, and running event reports for all stakeholders.
  • Manage all aspects of the New Brunswick Tour Day, including planning 4 provincial tours that all include lunch, transportation and activities.
  • Coordinate all off-site and on campus events for participants, including participant lounges, opening and closing events as well as one downtown event.
  • Lead contact with many local event suppliers.
  • Coordinate all transportation during the week, as well as the sourcing and ordering of all swag items.
  • Support team members across the CWSF Team.
  • Contribute to the culture of teamwork and best-in class client service.
  • Provide support during peak times to the Conference Services Team, specifically at the Wu Conference Centre and in the Central Booking Office.
  • Actively engage in and contribute to team meetings, brainstorming sessions, problem solving, and troubleshooting.
  • Provide leadership to event volunteer teams at CWSF events.
  • Undergraduate degree in business administration, public relations, event management or hospitality & tourism.
  • One to three years’ experience in client service preferably in meeting & event planning.
  • One to three years’ experience planning and delivering events, preferably in the hospitality and/or meetings & conventions industry or a University setting.
  • Experience working in a University environment would be considered an asset.
  • Strong communications skills and exceptional written skills.
  • Ability to consistently meet clients in a friendly, helpful and professional manner and respond appropriately to their inquiries, requests and concerns.
  • Ability to interact with a diverse group of clients.
  • Ability to assess and adapt quickly and effectively within a variety of situations and with various individuals or groups.
  • Attention to detail and ability to maintain a high level of accuracy.
