We are currently looking for an Operations Coordinator.
Duties and Responsibilities
Under the supervision of the Sr Director of Operations, the Operations Coordinator is responsible for providing administrative support to ensure efficient management of the Siemens Healthineers Operations team and Operations data trending of all critical KPI’s. This individual supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Ability to effectively communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected.
Managing department communications, internal and external via phone and e-mail
Organize and schedule trainings, meetings, and appointments (interviews for all new hires), coordination with HR and IT for onboarding.
Maintain contact lists including emergency contacts for all Operations personnel and support personnel
Develop and maintain relevant manual and electronic filing system, data/trend analysis of production output
Assist in the preparation of personnel and production related reports – monthly and quarterly
Maintain contact lists including emergency contacts for all Card Manufacturing personnel and support personnel
Maintain up-to-date records of employee vacation and personal leave and any other absences
Maintain adequate levels of PPE, office supplies and other non-production materials
Schedule department specific training and maintain appropriate records
Produce and distribute correspondence on behalf of the Group leadership
Reconcile and submit timesheets for employees
Provide general support to visitors up to and including conducting basic site orientation
Handle sensitive and personnel related information in a private and confidential manner
